About the Role

Panorama Rent A Car is seeking a motivated, organized, and customer-focused Sales Agent & Document Controller to handle customer inquiries, generate rental sales, manage rental documentation, and support daily fleet operations.

The ideal candidate should have hands-on experience in UAE’s car rental industry, strong sales and customer service skills, and the ability to accurately manage rental agreements, customer documents, bookings, and follow-ups.

Previous experience in the car rental industry in UAE car rental is a must and Abu Dhabi experience is preferable.

Key Responsibilities

* Respond to customer inquiries through phone, WhatsApp, online channels, and walk-in customers.

* Understand customer requirements and recommend suitable vehicles, rental packages, upgrades, and extensions.

* Prepare quotations, actively follow up on leads, negotiate where required, and convert inquiries into confirmed bookings.

* Maintain regular follow-up with existing and potential customers to generate repeat and new business.

* Prepare, review, and maintain rental agreements, customer records, vehicle documents, and supporting paperwork.

* Verify customer documentation and ensure rental files are accurate, complete, and securely maintained.

* Track rental contract renewals, expiry dates, extensions, and outstanding documentation.

* Coordinate vehicle bookings, deliveries, collections, and availability with drivers and the operations team.

* Maintain accurate records of vehicle handovers, returns, mileage, fuel levels, and reported damages.

* Coordinate vehicle maintenance, registration, insurance, and renewal requirements to support fleet readiness.

* Follow up on customer payments and outstanding balances in coordination with the accounts team.

* Handle customer concerns professionally and escalate issues when required.

* Maintain strong customer relationships and support customer retention.

* Request and follow up on customer feedback and reviews after successful rentals.

* Prepare regular reports on sales leads, confirmed bookings, fleet status, customer follow-ups, outstanding payments, and pending tasks.

* Ensure all rental documentation and transactions comply with company policies and procedures.

Requirements

* Proven experience working for a car rental company in UAE is essential.

* Previous experience in car rental sales, operations, and document control.

* Strong sales ability with experience converting inquiries and leads into confirmed rentals.

* Good understanding of rental agreements, customer documentation, and vehicle handover procedures.

* Good knowledge of the UAE and Abu Dhabi car rental market, pricing, and customer expectations.

* Strong communication, negotiation, sales, and customer service skills.

* Excellent attention to detail, organization, and follow-up skills.

* Ability to build and maintain good relationships with customers.

* Proficiency in Microsoft Office, particularly Excel, and skilled with car rental management systems.

* Good command of spoken and written English; Arabic is an advantage.

* Ability to manage multiple tasks and work effectively in a busy environment.

* A valid UAE driving licence is an advantage.
