Sales Assistant

About the role

This role supports the Sales team in managing sales documentation, customer communications, and order processing. You will assist in preparing quotations and proposals, handle customer enquiries, process sales orders and Purchase Orders, and coordinate with internal departments to ensure smooth operations. You will maintain customer records and sales reports, support sales activities and events, and provide excellent customer service.

Key responsibilities

• Assist the Sales team in preparing quotations, proposals, and other sales-related documents
• Handle customer enquiries and provide basic product or service information
• Prepare and process sales orders, Purchase Orders (PO), and related documentation
• Follow up with customers on quotations, orders, deliveries, and payments
• Coordinate with internal departments such as Production, Purchasing, Store, and Finance to ensure smooth order processing
• Maintain and update customer records, sales reports, and databases
• Assist in preparing monthly sales reports and sales performance updates
• Support the Sales team in arranging meetings, appointments, and customer visits
• Handle filing and general administrative tasks for the Sales Department
• Maintain good relationships with customers and provide excellent customer service

About you

• Diploma or Degree in Business Administration, Marketing, Sales, or related field
• Good communication skills in English and Bahasa Malaysia
• Able to communicate effectively with customers and internal departments
• Proficient in Microsoft Office, especially Excel and Word
• Good organizational and time-management skills
• Able to work independently and as part of a team
• Responsible, proactive, detail-oriented, and willing to learn
• Able to handle multiple tasks and work under pressure
• Possess a positive attitude and good interpersonal skills
