Sales Coordinator

About the role

To provide administrative and operational support to the Sales & Marketing Department by coordinating sales activities, handling customer enquiries, preparing sales documentation, maintaining accurate records, and ensuring effective communication between the Sales team, hotel departments, and clients to support the achievement of the hotel's revenue objectives.

Key responsibilities

• Provide administrative support to the Director of Sales, Sales Manager, and Sales Executives
• Prepare sales proposals, quotations, contracts, letters, and other sales-related documents
• Handle telephone calls, emails, and enquiries from corporate clients, travel agents, event organisers, and other potential customers
• Maintain and update client databases, sales records, filing systems, and customer contact information
• Prepare sales reports, activity reports, and other documentation as required by the department
• Assist the Sales team in coordinating meetings, seminars, conferences, banquets, and other hotel events
• Liaise with the Banquet, Food & Beverage, Front Office, Housekeeping, and other relevant departments to ensure clients' requirements are communicated clearly
• Respond to customer enquiries promptly and professionally
• Assist in coordinating room reservations, group bookings, meeting packages, and function requirements arising from sales enquiries
• Assist in preparing invoices, billing instructions, and payment documentation in coordination with the Finance Department
