Sales Coordinator - Holiday Rental Management

• Part-time – 30 hours per week, Monday to Thursday
• 9.00 am–5.00 pm, with a 30-minute unpaid break
• $40–$45 per hour, depending on experience
• 2 Min walk from Metro, trains & buses
• On-site role (sorry no WFH)

Professional Holiday Homes is seeking a confident, highly organised Sales Coordinator to support our General Manager and help manage a busy pipeline of prospective property owners.

This is an important coordination role for someone who enjoys speaking with people, following up opportunities and ensuring nothing falls through the cracks.

About the role

Working closely with our General Manager, you will help manage the early and middle stages of our sales process. You will be the first point of contact for many prospective property owners, gathering information about their properties and circumstances, explaining our services and arranging appointments with the General Manager. This is a telephone-focused position involving a significant number of outbound and follow-up calls. You will maintain contact with prospective owners at different stages of their decision-making process and ensure every suitable opportunity is followed up consistently.

Key responsibilities

• Responding promptly and professionally to new owner enquiries
• Making initial calls to understand the owner's needs, property and timeframe
• Explaining our services, fees and onboarding process clearly
• Qualifying opportunities and arranging consultations or property assessments
• Making regular follow-up calls and maintaining contact with prospective owners
• Preparing proposals and following up outstanding information and management agreements
• Maintaining accurate sales records, notes and next actions
• Monitoring the sales pipeline and identifying overdue follow-ups
• Coordinating the handover of newly signed properties to our Operations Coordinator
• Working with our Marketing Manager to ensure new leads are contacted promptly

• Confident and professional on the phone, comfortable making lots of outbound calls and persistent with follow-up without being overly pushy
• Strong coordination and organisational skills
• Excellent written and verbal communication skills
• The ability to quickly build rapport and credibility
• Strong attention to detail and accurate record-keeping
• The ability to manage multiple prospects, tasks and deadlines
• Confidence learning detailed information about our services and processes
• The ability to work independently and follow through on agreed actions
• Confidence using CRM, email and other business systems
