Sales Operations Assistant

About the Role

We are seeking a meticulous, responsive and genuinely service-minded Sales Operations Assistant to join the Sales Department of our hotel group. Reporting directly to the Director of Sales, you will act as his primary operational partner on a daily basis. Your role will be to structure and streamline sales activity, ensure follow-up with clients and partners, and free up time for sales leadership to focus on strategic development. This position contributes directly to the group's commercial performance and to the achievement of its revenue goals.

Key Responsibilities

• Inquiry management: manage incoming leads, inquiries and group requests, and ensure prompt, polished follow-up.
• Proposals and RFPs: prepare sales proposals, contracts, presentation packets and RFP responses for corporate, group and event clients.
• Marketing materials: design simple marketing materials (flyers, presentations, email campaigns, social media content) to support sales initiatives and the promotion of our properties.
• CRM and documentation: keep the CRM, sales tracking tools, reports and related documentation accurate and up to date.
• Meetings and site tours: organize and coordinate property site tours, client appointments and sales meetings.
• Groups and events: support the management of group bookings, room blocks and event logistics.
• Leadership support: handle administrative follow-up, calendar management and the coordination of projects led by the Director of Sales.
• Tracking and reporting: monitor sales metrics, pipeline progress and deadlines, and contribute to the preparation of reports.
• Client relations: reach out to clients and prospects by phone and email to follow up, qualify needs and nurture relationships.
• Partnerships: build lasting relationships with distribution partners, corporate accounts and event planners through structured communication and impeccable service.

Requirements:

Qualifications

• Prior experience in hospitality, sales support or sales operations is an asset.
• Strong eagerness to learn and high adaptability: curious and committed, you quickly pick up new tools, processes and environments, and you are driven to grow.
• Comfortable on the phone**,** you do not hesitate to call clients and prospects with confidence and professionalism.
• Knowledge of hospitality tools such as the Stayntouch PMS, Cvent or HotelPlanner is a plus but not required, as training will be provided.
• Comfortable with digital tools and CRM systems, as well as the Microsoft Office suite.
• Proficiency in design tools such as Canva is a plus.
• Excellent writing and interpersonal skills, with a strongly client-focused approach.
• Strong organizational skills, attention to detail and the ability to manage multiple priorities simultaneously.
• Self-starter, proactive, with a taste for dynamic and demanding environments.
• Professional fluency in English.
