What they need
About us
MAINSTREAM is the market-leading B2B community in its field, helping industry's biggest players learn, connect and do business — through live conferences, expos, training, masterclasses, research and more. Our customers are blue-chip: the UK's, Australia's and New Zealand's largest industrial, mining, energy, manufacturing, and infrastructure operators, who value us as an indispensable source of insight and market intelligence that helps them do their jobs better. Our successful UK entry in 2025 is drawing in Britain's biggest industrial names and operators across Europe, with the US and the Middle East next on our expansion roadmap.
The Role
Our Head of Delegate Sales runs delegate revenue for our conference business — around $2 million a year from corporate delegates who attend our events. They're flat out, and they need one person who can multiply what they get done. That person is you.
You'll be the rainmaker's right hand — across the CRM, the inbox, the diary and the detail behind every deal. While they lead the conversations and close the business, you'll make sure every opportunity is organised, followed up and never lost. If you're highly organised, confident on the phone and obsessive about follow-through, you'll love it.
Tasks & responsibilities
- Be the rainmaker's right hand – the person who makes sure every opportunity is organised, followed up, and never lost.
- Support the Head of Delegate Sales in moving customer opportunities forward, with them leading the relationships and the close while you keep everything on track behind the scenes.
- Manage and maintain a pipeline of existing and new customer opportunities in Zoho CRM, keeping records, tasks and follow-ups up to date so nothing falls through the cracks.
- Help maintain warm, trusted relationships with customers at all levels – from long-standing loyalists to brand new leads – handling bookings, queries and follow-ups via phone, video, email, and LinkedIn.
- Capture customer intelligence from conversations and record it accurately in Zoho, building rich, useful history and context over time.
- Coordinate internally across the team and externally with customers to maintain momentum and deliver outcomes.
- Harness actions, follow-ups, and ideas that emerge from conversations and keep them moving – to-do lists, diary and inbox management, retrieval, reporting and more.
- Prepare, send, and track quotes, proposals and booking confirmations for customers.
- Liaise with the marketing and wider sales team to keep operations running smoothly.
- Prepare reports, pipeline updates and briefing notes so the Head of Delegate Sales always has what they need, when they need it.
- Attend annual conferences in Melbourne and Perth.
- Grow professionally in an amazing values-based environment – as the trusted support partner to a high-performing sales leader.
- Australian work authorisation is required for this position.
Qualifications & experience
- Minimum 2 years' demonstrable experience in a sales support, executive assistant, coordination or operations role – ideally supporting a busy senior leader.
- Background in conferences, events, professional associations, membership or community organisations, training, education, or recruitment – highly regarded.
- Proven experience speaking with customers on the phone and managing follow-ups, participation, and bookings.
- Comfortable with CRM systems (Zoho preferred) and meticulous about keeping records, relationships and opportunities up to date – a high-calibre support partner, not just an administrator.
- Digitally competent, with confidence across tools like email campaigns, mail merges, spreadsheets, and LinkedIn.
- Able to operate effectively within a fast-moving, organic, and ever-changing environment – keeping the detail organised without slowing the pace.
- Proactive, ownership-driven and highly organised – able to anticipate needs, juggle competing priorities and see things through without prompting.
- Exceptional attention to detail, with the discretion and judgement expected of a trusted right hand.
- A natural relationship-builder who earns trust quickly – with customers and with the people you support.
- Commercially aware, with a genuine interest in how businesses grow and how great support drives results.
- A great sense of humour and the ability to handle the unexpected with finesse.
What we offer
- OTE $80,000-100,000 – comprising a competitive base salary plus performance bonuses linked to overall event outcomes.
- A dynamic, values-driven culture where your contribution is seen and rewarded.
To thrive in this role, you must be HIGHLY ORGANISED, a natural RELATIONSHIP-BUILDER who loves being the ENGINE BEHIND A GREAT SALES LEADER, and someone who takes real PRIDE IN KEEPING THINGS MOVING.
Other offers great for you!
