Sample Clerk

About the role

This role involves comprehensive sample management and administrative support within a stone/construction materials environment. You will manage the full lifecycle of samples from entry through exit, maintain accurate records and physical organization, coordinate with multiple departments, and ensure all sample-related data and logistics are tracked and reported efficiently.

Key responsibilities

• Manage sample entry, exit, and usage registration, and maintain ledger records to ensure consistency between documentation and physical items
• Classify and code samples, and mark their status including name, color code, specification, and process information
• Manage daily arrangement and tidiness of the sample room and maintain display systems including exhibition boards, hanging boards, and sample cabinets
• Establish and update electronic sample archives with product information, test reports, prices, and maintain product catalogues
• Assist sales representatives in packaging and shipping samples, track logistics information and promptly return tracking numbers
• Enter sample data into the ERP system or Excel ledgers and complete monthly reports on time
• Communicate with production, quality control, and sales departments to follow up on sample progress and provide feedback on abnormalities

About you

• College degree or above
• 2 year or more of clerical work experience
• Proficient in using Office software, especially Excel
• Detail-oriented, highly responsible, and organized
• Strong communication and coordination skills
• Strong sense of time management
• Experience in the stone/construction materials industry preferred
• Knowledge of quartz stone production processes and surface treatment methods preferred
• Experience in sample management preferred
