Sample Coordinator

About the role

This role is to handle key responsibilities covering areas within the scope of supply chain related activities pertaining to sample order and pre-shipment samples processing.

Key responsibilities

• Processing of outbound sample and pre-shipment sample requests raised by customer service via Salesforce
• Prepare export shipping documentations including custom permits, certificate of origin, cargo insurance, and legalization of shipping documents required for sample requests shipments
• Close collaboration with Local planning team on sample availability and Local logistics team on physical sample preparation for shipment/delivery schedule for finished goods and raw materials samples
• Close collaboration with QA and local site warehouse team on coordinating pre-shipment sample availability and shipment arrangement
• Attend to email correspondence with customer service and courier agents relating to sample arrangement and shipments
• Arrange inspection with respective government authorities and surveyor, where needed, relating to shipping documentation preparation for sample shipments
• Follow-up and advise on shipment status to customer service for sample deliveries and shipments to customers
• Support on coding and validation of VIM invoices
• Execute SAP system PGI for customer sales orders and sample deliveries

About you

• Secondary level minimum
• Strong proficiency in English – oral and written
• 1 year experience in Logistics Operations related field
• 1 year experience in Transportation and Distribution and/or related field
• Proficient in MS Office Suite and Google (Gmail, Drive, Calendar) tools
• Proven ability to multitask and prioritize in an extremely high volume and fast pace environment
• Proven ability to process variable inputs to clarify and follow up on incomplete and ambiguous information
• Proven ability to take initiative, overcome obstacles, solve problems and deliver consistent results
