PMO Analyst

Role Overview

We are seeking a highly organized and analytical PMO Analyst to support our Project Management Office and Delivery Governance function.

This role will work closely with the PMO Manager, Delivery Leads, Engineering Managers, Talent Acquisition, and leadership teams to ensure effective governance, reporting, resource planning, and portfolio visibility across multiple projects and client engagements.

The ideal candidate is detail-oriented, data-driven, proactive in follow-ups, and passionate about improving processes and operational efficiency.

Key Responsibilities

Delivery Governance & Portfolio Reporting

• Maintain project, program, and portfolio-level dashboards and trackers.
• Consolidate delivery updates from multiple project teams and stakeholders.
• Prepare weekly, monthly, and quarterly governance reports for leadership reviews.
• Track project milestones, timelines, deliverables, and dependencies.
• Ensure project data is accurate, current, and aligned across reporting systems.
• Provide visibility into delivery performance, project status, and portfolio health.

Risk, Issue & Dependency Management

• Maintain RAID (Risks, Assumptions, Issues, Dependencies) registers across engagements.
• Track risk mitigation actions and ensure timely follow-up with stakeholders.
• Escalate unresolved risks, blockers, and critical issues to PMO leadership.
• Monitor cross-project dependencies and support resolution planning.

Resource & Capacity Planning

• Support resource allocation and utilization tracking across projects.
• Assist in maintaining capacity planning and workforce management reports.
• Coordinate with Delivery and Talent Acquisition teams on staffing requirements.
• Track hiring requests, onboarding progress, and resource availability.

Operational Excellence & Process Improvement

• Support standardization of PMO processes, templates, and governance frameworks.
• Maintain project documentation, governance artifacts, and process repositories.
• Identify opportunities to improve reporting efficiency and reduce manual effort.
• Assist in implementing automation and AI-driven reporting solutions.
• Contribute to continuous improvement initiatives across the PMO function.

Stakeholder Coordination

• Coordinate governance meetings and maintain action-item trackers.
• Follow up with project teams on commitments, deliverables, and open actions.
• Prepare meeting minutes, status summaries, and executive presentations.
• Collaborate with cross-functional teams to ensure timely communication and issue resolution.

PMO Analytics & Insights

• Analyze project and operational data to identify trends, risks, and improvement opportunities.
• Develop meaningful metrics and dashboards that support decision-making.
• Generate insights related to project performance, utilization, delivery health, and operational efficiency.
• Present findings in a clear and concise manner to stakeholders.

Required Qualifications

• 2–4 years of experience in PMO, Project Coordination, Delivery Operations, Business Operations, Project Management, or a related role.
• Strong analytical and problem-solving skills.
• Excellent organizational and time-management abilities.
• Strong written and verbal communication skills.
• Ability to manage multiple priorities in a fast-paced environment.
• High attention to detail and strong follow-through.
• Proficiency in Microsoft Excel, PowerPoint, and reporting tools.

Preferred Qualifications

• Experience working in a technology, software services, consulting, or GCC environment.
• Familiarity with Agile, Scrum, or hybrid delivery methodologies.
• Exposure to Jira, Azure DevOps, Power BI, Smartsheet, or similar project management and reporting tools.
• Experience using AI tools such as ChatGPT, Microsoft Copilot, Claude, or automation platforms to improve productivity.
