What they need
We are looking for a proactive, detail-oriented Scheduling Assistant to join our Waukesha team. In this role, you will coordinate customer appointments, keep calendars accurate and provide the administrative support that helps each day run smoothly. Your communication will help customers know what to expect and give colleagues the information they need to arrive prepared. With hands-on training and a busy team to learn from, this is an opportunity to build practical scheduling and office coordination skills.
This is a full-time, on-site position, Monday through Friday from 8 a.m. to 4:30 p.m. You will work closely with the people delivering our technology services, while focusing on the appointments and communication that support their work.
Help the day run well
Every appointment has details that matter. Before confirming a time, you will check what the customer needs, where the work will take place and who needs to attend. When plans change, you will update the schedule and let everyone affected know what happens next.
Your day-to-day work will include:
- Responding to appointment requests by phone and email.
- Booking visits and confirming the details with customers and colleagues.
- Keeping the shared calendar and scheduling system up to date.
- Spotting overlapping appointments or missing information before they cause delays.
- Recording clear notes and handing over any requests that still need attention.
There will be days when the plan changes quickly. A customer may need a different time, or a specialist may become available sooner than expected. You will learn how to assess what can be moved, who needs an update and when to ask a colleague to help resolve a conflict. Keeping people informed is as valuable as finding the new appointment time.
Build your confidence with the team
We will train you on our scheduling process, the information each appointment requires and the systems we use. You do not need to understand the technical work in detail when you start. The specialists will make technical decisions; you will make sure their appointments are organized and their customers are kept informed.
As you settle into the role, you will gain a better view of how the service operation fits together. You will have the opportunity to take greater ownership of the daily schedule, improve handovers and help the team prevent recurring scheduling problems.
What will help you succeed
You should be comfortable using a digital calendar, writing notes others can follow and speaking with people in a clear, courteous way. You will need to keep track of details when several requests are open at once and raise a concern early if something does not add up. We value someone who takes care with their work and enjoys helping a team deliver a dependable service.
If you like organizing moving parts and knowing your work made someone else’s day easier, we would like to hear from you.
