What they need
RGR Facilities are one of the UK's leading drainage and grease management companies, working closely with well known clients across the hospitality, catering and food service industries to provide grease removal and drainage services. We are seeking well-organised applicants with previous administrative experience or a recent degree to carry out a range of tasks in a full-time, office based role.
The key tasks will include:
Bookings: Part of the job will entail liaising with sites and engineers to schedule in work and updating the CRM software accordingly. This can also involve arranging passes / permits and creation of RAMS (Risk Assessment and Method Statements) from existing templates.
Updating Clients: Each morning, you will be responsible for monitoring the work carried out the previous day to ensure all jobs have been completed correctly, job sheets have a sufficient level of information and that they are provided to the client along with any quotations or remedial works required following the visit.
Updating CRM Software: RGR use Client Relationship Management software to monitor outstanding work and keep track of the status of tasks. Successful applicants will be part of the team responsible for inputting new tasks and forwarding job information on to engineers and clients. As this is custom software, with an accompanying mobile application, training will be provided on how to operate the system correctly.
Warranty Management: For jobs covered by warranty, the applicant will be responsible for managing RGR's warranty claim forms and regularly liaising with the equipment manufacturer to recuperate costs incurred during warranty visits.
Spare Parts Management: Part of the role will involve monitoring parts usage by engineers on a weekly basis and ensuring they have sufficient stock to carry out their work. This will also be required for RGR's overall stock levels, with usage to be monitored and parts ordered to prevent shortfalls.
Assorted Tasks: As well as regular duties, there are likely to be a range of ad hoc assignments e.g. writing up of surveys.
The ideal candidate will have 2+ years experience in an administrative or booking role or alternatively have recently completed a degree. They should have strong organisational skills to juggle the range of tasks required. Proficiency with the office suite and particularly excel will be important for keeping on top of warranty claims and spare parts stock/usage. Preferably the candidate will be available to start as soon as possible - though there is some flexibility depending on circumstances.
