Scheduling Coordinator

About the role

Responsible for supporting the communications and support with our customers and link between clients, project managers, site staff, production teams, suppliers and other internal departments. This role ensures stakeholders remain informed, engaged and supported throughout the project lifecycle. The position is focused on creating a positive client experience while assisting the Projects Team to maintain efficient project delivery, clear communication and strong relationships.

Key responsibilities

• Maintain regular communication with customers regarding project status, timelines and milestones
• Provide proactive updates to clients throughout manufacturing, delivery and installation phases
• Respond promptly and professionally to customer enquiries
• Build strong positive relationships with clients, contractors, designers and consultants
• Manage client expectations through clear and accurate communication
• Support the Projects Manager with the day-to-day coordination of multiple projects
• Schedule and coordinate meetings with clients, suppliers and internal teams
• Prepare and distribute meeting minutes and action lists
• Maintain project records, documentation and correspondence
• Update project management software and client databases across the company

About you

• Proven experience in customer service, project coordination or administration

• Excellent communication skills, both written and verbal

• Solid Microsoft Office skills and used ERP systems before

• High level of accuracy and attention to detail, while still flexible and multitasking

• Professional presentation and interpersonal skills

• Experience within construction, manufacturing, joinery or fit-out environments (preferred)

• Understanding of project delivery processes (preferred)

• Experience working with project management systems (preferred)
