What they need

Every promise we make to a client runs through the schedule. You make sure we can keep all of them.

Dog Lab Texas provides hunting, obedience and protection training, along with boarding and transport, for clients who expect a premium experience, and we guarantee our training results. Here’s something most people outside our industry don’t realize: when things go wrong in a business like ours, it’s rarely because someone didn’t care. Usually it’s because a commitment was made without the people, vehicles, kennel space or time to deliver it. As our Scheduling Coordinator, you’re the one who prevents that. You own the master schedule across transport, boarding and training, and you turn every client commitment into a daily plan our team can actually deliver.

What you get here

  • Real ownership. This isn’t a data-entry role. You’ll be the single source of truth for what the company has committed to, and every department will rely on your plan.
  • A seat at the table. You’ll see capacity problems before anyone else does, and leadership wants to hear about them. When you recommend changes to staffing, routing or program design, those recommendations will be taken seriously.
  • Leaders who back you up. When a conflict can’t be solved within the capacity we have, you’ll escalate it through a clear path instead of carrying it alone.
  • Recognition for getting it right. Good planning here doesn’t go unnoticed. When routes run on time and programs finish on schedule, people will know why.
  • Room to grow with us. We’re growing, and the people who build our operating systems now will help lead what comes next.

What you’ll do

  • Own the master schedule. Maintain the master schedule for transport, boarding and training as the company’s single source of truth. Publish the daily schedule to every affected department on a consistent, dependable timeline.
  • Protect every commitment. Before anything is confirmed to a client, verify that we have the staff, vehicles, kennel space and time to deliver it. No commitment is accepted or confirmed without that capacity behind it.
  • Build smart routes. Plan daily and weekly transport routes that cut drive time, mileage and idle capacity while meeting every client commitment. Assign runs based on driver availability, route efficiency, vehicle capacity and which dogs can travel together.
  • Keep training programs on pace. Schedule training sessions, field lessons and client appointments around verified Trainer availability and program milestones. Book required sessions far enough ahead that every program finishes within its defined timeframe. Tell the Operations Manager right away about any program at risk of falling behind.
  • Coordinate boarding flow. Work with the Boarding Coordinator on arrivals and departures so check-in and check-out never bottleneck.
  • Confirm and communicate. Confirm every appointment, pick-up and drop-off with the client in advance, then reconfirm the day before. Give clients and the Front Desk accurate arrival windows and real-time ETA updates.
  • Adapt fast and escalate when needed. When delays, cancellations, weather, vehicle problems or staffing changes hit, adjust the schedule immediately and communicate everything it affects downstream. When a conflict can’t be solved with the capacity we have, follow the defined escalation path instead of absorbing it quietly.
  • Apply policy consistently. Track and manage schedule change requests, cancellations and no-shows, and apply company policy the same way every time.
  • Coordinate vet visits. Schedule veterinary appointments and the transport they require, working with the Front Desk.
  • Make capacity visible. Monitor trainer utilization, vehicle utilization and kennel occupancy, and alert leadership early when something is underused or overloaded.
  • Close the loop with billing. Keep accurate scheduling records, route documentation and confirmations of completed services. Send verified completion records to the Accounts Manager so billing is accurate and on time.
  • Fix the root cause. Spot recurring scheduling conflicts and recommend structural changes to capacity, staffing, routing or program design.

What success looks like

  • Every department trusts the master schedule because it’s accurate and current.
  • Routes are efficient and finish on time.
  • No commitment is confirmed without verified capacity behind it.
  • Clients hear about delays and changes before they notice them.
  • Training programs stay on pace to finish on time.
  • Leadership sees capacity limits ahead of time, not after something fails.
  • Service completion records are accurate and arrive in time for billing.

Who thrives here
You think in terms of time, distance, capacity and sequence. You can look at a day and tell whether it will work before it starts. When plans fall apart at 7 a.m., you stay calm and make a decision. You’re comfortable telling someone “we can’t confirm that yet” when the capacity isn’t there, because you know a broken promise costs far more than a delayed yes. You communicate clearly with drivers in the field and with the office, and you keep records that other people can rely on.

What you bring

  • Required: prior experience in dispatch, logistics coordination, route planning, service scheduling, or coordinating multiple operational resources
  • Required: strong practical reasoning about time, distance, capacity and sequencing
  • Required: the ability to stay organized and decisive when conditions change without warning
  • Required: strong verbal communication and the ability to coordinate field and office teams
  • Strongly preferred: direct experience building employee schedules, especially for trainers or across multiple departments
  • Strongly preferred: experience scheduling multiple crews, vehicles or locations at the same time
  • Preferred: experience with scheduling, dispatch or CRM platforms such as Go High Level
  • Preferred: experience in animal care, field service or another operationally intensive environment
