Illume Anesthesia is a provider-owned group delivering and managing comprehensive anesthesia services for surgery centers, hospitals, and office-based practices in the Dallas-Fort Worth area.

About the Role

We are looking for an organized, dependable Scheduling Coordinator to manage day-to-day CRNA coverage across our partner facilities. You will build and maintain provider schedules, respond quickly to changes, and serve as a main point of contact between our CRNAs and facility staff. This is a fully remote position. Candidates in the Dallas-Fort Worth area or the Central time zone are strongly preferred.

Responsibilities

• Build and maintain CRNA schedules across multiple surgical facilities.
• Fill call-outs, add-on cases, and last-minute schedule changes promptly.
• Communicate with facility managers and schedulers to confirm daily coverage needs.
• Confirm assignments with providers and make sure they have the details they need for each shift.
• Coordinate with our credentialing team so that providers are only scheduled at facilities where they are cleared to work.
• Track provider hours and shifts accurately to support billing and contractor payments.
• Keep schedules, records, and communications organized and current.
• Handle all patient and provider information in compliance with HIPAA.

Required Qualifications

• Two or more years of scheduling experience in a healthcare setting, such as a surgical, anesthesia, or medical staffing environment.
• Proven ability to manage same-day changes and keep coverage filled under time pressure.
• Strong written and verbal communication skills, including comfort working with clinicians and facility leadership.
• Proficiency with Google Workspace (Sheets, Gmail, Calendar) or Microsoft Excel, and the ability to learn new software quickly.
• Availability during core surgical hours, approximately 6:00 a.m. to 3:00 p.m. Central Time, with some flexibility for early-morning changes.
• A reliable internet connection and a quiet, private workspace.
• Strong attention to detail and the ability to work independently.

Preferred Qualifications

• Located in the Dallas-Fort Worth area.
• Experience with CRNA, anesthesia, or locum tenens staffing.
• Familiarity with facility credentialing and privileging.
• Experience tracking hours or shifts for billing or payroll.
