What they need

About this opportunity

We’re looking for a proactive Client Services Manager (Scheduling Manager) to guide our coordination team and ensure clients receive timely, high-quality support. In this role, you’ll oversee scheduling, support and develop your team, maintain accurate Client and Caregiver records, and help manage after-hours rosters and day-to-day service delivery.

As we continue to grow, we are building future capability within our operations team, supported by a highly supportive and passionate Business Operations Manager. This role plays a key part in strengthening our Client Services function, ensuring we have the right structure, leadership, and support in place to deliver exceptional care now and into the future.

This role suits someone who is people-focused, organised, confident in handling challenges, and committed to delivering exceptional client service. If you’re a strong communicator and natural leader who thrives in a fast-paced environment, we’d love to hear from you.

This role will be working across our Bunbury, Mandurah, Osborne Park and Clarkson offices within Western Australia.

Why join us?

At Dovida, you’ll do work that matters - and be part of a team that genuinely values the people behind the care.

  • Make a difference every day – build a meaningful career helping older Australians live independently, confidently and happily at home.
  • Your birthday is on us! – enjoy a paid day off each year to celebrate your way.
  • More time for what matters – access paid wellness, volunteering and study leave to support your wellbeing, passions and professional growth.
  • Make your next car more affordable – take advantage of our novated leasing options and potential tax savings.
  • Be celebrated for the impact you make – our annual Heart of Dovida Awards recognise the incredible people who bring our values to life.
  • Grow with us – join an organisation that is growing, evolving and creating exciting opportunities for people who want to make an impact.

Key Responsibilities

  • Lead, support and mentor the Client Services Coordination team across WA.
  • Oversee daily scheduling to ensure clients receive timely, consistent services
  • Maintain accurate client and Caregiver records in the client management system
  • Ensure prompt and professional communication with clients and Caregivers
  • Coordinate after-hours and weekend on-call rosters
  • Manage incident reporting, feedback, and follow-up to support quality care

About you

  • Rostering experience and SCHADS knowledge is essential.
  • Experience in the aged care/disability sector is highly desirable.
  • Experience leading and mentoring a team.
  • Be personable, approachable, motivated, reliable, and passionate with a can-do attitude.
  • Be able to build strong relationships and rapport with internal teams and clients and always deliver exceptional customer service.
  • Be able to learn technologies quickly to interpret and analyse data.
  • Have strong communication, problem-solving, time management, and conflict-resolution skills.
  • Have proficient computer skills, including Microsoft Office and Excel.
  • Be flexible, adaptable, and able to remain calm under pressure to think on your feet with shifting priorities in an ever-changing environment.
