About Dalton School Hong Kong

Dalton School Hong Kong (DSHK) is a non-profit, private independent school established in 2017, offering a dual-language (English and Putonghua) education based on the child-centered Dalton Plan. We foster global-minded learners through bilingual, inquiry-based education, emphasizing individualized learning, creativity, and socio-cultural competence. With a diverse student body and a collaborative community, DSHK is committed to excellence and well-being.

Position Overview

The Administrative Officer plays a vital role in supporting DSHK’s operations by providing secretarial and administrative support to faculty, parents, and students. This position requires exceptional organizational skills, bilingual communication, and a commitment to fostering a welcoming, inclusive environment in line with DSHK’s mission. Candidates with less experience are encouraged to apply and will be considered for the Administrative Assistant position

Key Responsibilities

Secretarial Support

  • Manage calendars, schedule meetings, and prepare correspondence, reports, and presentations for school leadership and faculty.
  • Handle incoming calls, emails, and inquiries in English, Mandarin, and Cantonese, directing them to appropriate staff or departments.
  • Perform clerical tasks, including data entry, filing, photocopying, and managing mail and courier services.

Faculty Support

  • Coordinate faculty schedules, assist with resource allocation, and maintain records for professional development and staff events.
  • Support teachers with administrative tasks, such as preparing classroom materials or managing student records.
  • Collaborate with academic teams to streamline communication and ensure operational efficiency.

Parent and Student Engagement

  • Serve as a key point of contact for parents, responding to inquiries about school programs, events, or policies in English and Chinese.
  • Assist the admissions team with scheduling tours, managing enrollment documentation, and providing information to prospective families.
  • Support students by addressing basic inquiries and facilitating communication with teachers or counselors.

Operational Coordination

  • Coordinate with school bus drivers and staff to ensure effective scheduling for student transportation.
  • Assist in procuring office supplies and maintaining an organized administrative office.
  • Support school events, such as parent-teacher conferences, assemblies, or enrichment activities, by coordinating logistics and communications.

Compliance and Data Management

  • Maintain accurate student and staff records using school management systems.
  • Adhere to school policies, including child protection, data confidentiality, and Hong Kong’s Sexual Conviction Record Check (SCRC) requirements.
  • Ensure compliance with data privacy regulations when handling sensitive information.

Qualifications and Skills

  • Education: Bachelor’s degree is preferred but not a must
  • Experience: Minimum 3 years in an administrative or secretarial role, preferably in an educational or international school setting.
  • Language Proficiency: Fluency in English and Mandarin; proficiency in Cantonese is highly desirable to support DSHK’s bilingual environment.
  • Technical Skills: Proficient in Microsoft Office (Word, Excel, Outlook) and Chinese word processing; familiarity with school management systems is a plus.
  • Interpersonal Skills: Strong organizational, communication, and problem-solving skills with a professional, approachable demeanor.
  • Cultural Fit: Passion for supporting a diverse, child-centered community and alignment with DSHK’s mission of fostering global-minded learners.

Working Conditions

  • Hours: Monday to Friday, 8:00 a.m. – 5:00 p.m., with occasional evening or weekend events (approximately 4–5 times per year).
  • Environment: Modern campus at 41B Stubbs Road, Mid-Levels, with a vibrant, multicultural community.
  • Benefits: medical insurance, special working hours on school holidays
