What they need
School Dental Program Coordinator
Healthy Smiles NYS | New City, NY | Full-time | $75,000 per year
Help make school dental visits run smoothly and give more children access to dental care. Healthy Smiles NYS is looking for an organized, dependable and personable coordinator to take ownership of the day-to-day operations of our school visits throughout New York State.
You will be the face of Healthy Smiles in our partner schools: building warm relationships, leading the team's daily logistics and keeping each visit organized, welcoming and compliant with our program procedures. This is a hands-on operations role for someone who takes ownership, follows through and stays calm when plans change. On weekdays when no school visit is scheduled, you will help with billing and office operations in New City. You do not need to report to the office on school-visit days.
Schedule, location and travel
Full-time, year-round position based in New City, NY, with most field work taking place at schools across New York State.
Monday–Friday schedule. No weekend work. Most school visits take place during regular school hours; travel and office responsibilities can extend the workday.
Attendance at our scheduled school visits is a core responsibility. On school-visit days, you report to the school and are not required to go to the office. Office work takes place on weekdays when no school visit is scheduled.
Some trips may require an early departure or a weekday overnight stay. Approved business mileage, tolls and necessary hotels are reimbursed separately from salary.
Only light items, such as program signs or supplies, may need to be carried. Heavy equipment transport is not a core responsibility.
Your responsibilities
Represent Healthy Smiles professionally and serve as the main on-site contact for school administrators, staff, families and the dental team.
Lead daily team logistics: confirm arrival details, room arrangements and readiness, coordinate responsibilities and student flow, and keep visits running smoothly.
Keep school staff informed, follow up on consent counts and help schools share signup information with families.
Be present at scheduled visits, address logistical issues promptly and communicate changes or concerns to management.
Own the operational compliance checklist for each visit: confirm required consents and paperwork are in place, follow established school and program procedures, safeguard confidential information and escalate gaps promptly.
Work closely with licensed clinicians, who remain responsible for clinical care and clinical decisions.
Maintain accurate visit records, track outstanding documentation and send clear daily updates and follow-up items to the office.
On weekdays when no school visit is scheduled, work from our New City office on billing support, insurance and documentation follow-up, data entry, scheduling and other administrative tasks.
What we’re looking for
Strong organization, attention to detail, punctuality and reliable follow-through.
A warm, professional manner with school staff, families, children and colleagues.
Comfort managing changing schedules and solving practical problems independently.
Confidence coordinating a team, setting clear expectations and addressing concerns respectfully.
Sound judgment, discretion and a commitment to following established privacy and compliance procedures.
Bilingual skills are preferred, but not required, to help communicate with our school communities.
Confidence using email, spreadsheets and digital records.
Ability to meet the position’s school attendance and travel requirements and work in the New City office on weekdays when no school visit is scheduled.
Experience in healthcare administration, dental front office work, school programs or operations coordination is helpful. Dental or medical billing experience is preferred.
Pay and what the role offers
$75,000 annual base pay.
Approved business travel expenses reimbursed separately.
Monday–Friday work with no weekend work, and school-hour visits most days.
A varied role with responsibility and a direct impact on children’s access to dental care.
Health insurance is not currently offered.
To apply, submit your resume and a brief note about your coordination, school, healthcare or billing experience and your ability to travel throughout New York State.
Pay: $75,000.00 per year
