What they need
Scientific Operations Coordinator
Job Location: London (Hybrid working opportunities)
Job Salary: up to circa £35000
Scientific Operations Coordinator vacancy with a scientific publisher of high-quality research and commentary in areas of bioscience.
Job Overview: This is a hands-on, varied operations role where no two weeks look the same. You will work closely with the MD and department heads to understand operations across every team, helping to drive meaningful improvement.
You'll need to be equally comfortable getting into the detail of how a process works and stepping back to assess whether it supports the company's wider goals and strategy. You will build genuine cross-functional relationships, manage change thoughtfully, and bring the kind of proactive, initiative-driven approach that makes things happen without waiting to be asked.
Key Responsibilities:
Supporting the MD and leadership team
- Manage priorities, projects, and follow-through across the business
- Prepare briefings, updates, and internal communications that keep the team informed and aligned
- Support strategic planning and company-wide initiatives, ensuring decisions translate into action
Operational understanding and improvement
- Understand how work flows, where friction lives, and what good looks like
- Map and document processes clearly, making them accessible and useful
- Identify operational gaps and inefficiencies, and bring forward well-reasoned proposals for improvement
Cross-functional collaboration and change management
- Build strong working relationships with department heads, acting as a connector across the business
- Lead or support operational change initiatives
- Manage competing priorities across functions
Systems and tools
- Utilise operational tools – primarily Monday.com, Microsoft 365, HubSpot, and Slack
- Support the business in using tools consistently and effectively; identify where better use of technology could save time or reduce risk
- Pick up new systems quickly and independently when the role demands it
Prerequisites:
- Experience in an operations, project coordination, or business support role
- Demonstrably proactive: you spot problems and act on them before being asked
- Strong cross-functional communicator – comfortable working with and influencing people at all levels
- Analytical and detail-oriented, with the ability to understand a process end-to-end
- Strategic thinker: able to connect operational decisions to business goals and company strategy
- Experienced in managing change – whether introducing new processes or improving existing ones
- Independent and self-directed, but knows when to consult and when to collaborate
- Hardworking, adaptable, and comfortable with ambiguity in a fast-moving environment
- Experience with Monday.com preferred; otherwise, demonstrable ability to pick up new tools quickly
- Experience in a startup or scale-up environment
- Familiarity with Microsoft 365, HubSpot, or Slack
