Seafreight Coordinator

Key Responsibilities

• Coordinate with overseas agents to obtain complete and accurate pre-alert documentation.
• Open and maintain shipment job files in the SOVY system, ensuring all information is entered accurately.
• Prepare and submit correction manifests to carriers and co-loaders, and follow up on arrival notices.
• Keep customers informed with timely shipment updates, delivery status, and operational feedback.
• Prepare costing and billing accurately, and ensure payment is received from cash customers before releasing the Delivery Order (DO), Electronic Delivery Order (EDO), or Import Invoice Document (IID).
• Update all shipment milestones and process flows in the SOVY system before submitting completed job files for closure.
• Coordinate closely with internal departments to ensure smooth cargo handling and on-time delivery.
• Manage multiple customer accounts while delivering responsive and professional customer service.
• Maintain accurate documentation and filing in compliance with company policies and procedures.

Job Requirements

• Minimum 3 years of experience in a freight forwarding or logistics company, preferably in Seafreight Import/Export Operations.
• Strong understanding of Incoterms, shipping procedures, and import/export documentation.
• Proven ability to manage multiple shipments and customer accounts simultaneously.
• Proficiency in Mandarin is an added advantage, as the role requires communication with China-based customers and overseas agents.
• Familiarity with carriers, co-loaders, and freight forwarding documentation processes.
• Experience using the SOVY system is an advantage; training will be provided for suitable candidates.
• Good communication, coordination, organizational, and problem-solving skills.
• Able to work independently in a fast-paced environment and meet tight deadlines.
• Willing to be based in Port Klang.
