Key Responsibilities

- Maintain organized receipts, vendor records, W-9s, contracts, and payment documentation.
- Track capital commitments, capital calls, funded amounts, due dates, and remaining commitments; prepare supporting schedules as needed.
- Maintain property- and entity-level bookkeeping records, schedules, and supporting documentation, as assigned.
- Maintain schedules comparing budgeted and actual expenses, tracking cash flow and recurring payments, and flag any variances or unresolved items for review.
- Coordinate documentation requests from Finance, Tax, accounting advisers, auditors, and other authorized stakeholders.
- Support month-end and year-end bookkeeping activities by preparing reconciliations, schedules, and supporting documentation.
- File receipts and reconcile credit-card expenses for affiliated entities and related activities; follow up on missing receipts or unreconciled items.
- Prepare a concise weekly bookkeeping status report covering outstanding bills, upcoming capital calls, missing documentation, budget variances, and other items requiring attention.
Qualifications
- Bachelor’s degree in accounting, finance, business administration, or a related field preferred; equivalent experience may be considered.
- Bookkeeping, accounting, or QuickBooks certification preferred but not required.
- 5+ years of hands-on bookkeeping experience in a complex, multi-entity, high-touch, or comparable financial environment.
- Strong hands-on experience with QuickBooks and Excel.
- Experience supporting multiple affiliated entities, properties, investment activity, or complex business financial operations.
- Familiarity with reconciliations, invoice management, contractor payments, reimbursements, capital-call schedules, budget tracking, vendor administration, and tax-support documentation.
- Strong organizational, communication, and follow-through skills, with exceptional attention to detail and accuracy.
- Ability to work independently, exercise sound judgment, and manage sensitive financial information with discretion.
- Demonstrated ability to support internal stakeholders, affiliated entities, properties, investments, and confidential financial activity in a high-trust environment.
