Business Systems Analyst – Project Closeout & Asset Management

Location: Charlotte, NC (preferred); other locations considered for exceptional candidates

About the Role:

We are seeking an experienced Business Systems Analyst to support project closeout, asset management, and engineering coordination initiatives within a utility environment. This role will ensure project documentation, asset data, work orders, permits, and engineering deliverables are completed accurately and on schedule.

The ideal candidate brings strong analytical, organizational, and follow-up skills, with the ability to coordinate across Engineering, GIS, Asset Management, Permitting, and external vendors to resolve outstanding project closeout items and maintain accurate reporting and forecasts.

Key Responsibilities:

• Verify all Equipment Change Requests (ECRs) have been submitted and coordinate with Engineering to confirm the required quantities.
• Ensure GIS Update Requests are submitted to the GIS team and track updates in systems such as Smallworld and My World.
• Confirm Asset Automation activities have been completed in Maximo, including hierarchy checks and asset data validation.
• Monitor work order tasks to ensure completion and closure, coordinating with work order owners to resolve outstanding items.
• Verify Facilities Ratings Database updates and follow up with the appropriate teams as needed.
• Partner with analysts to investigate and resolve ARC failures.
• Coordinate with Engineering to complete redlines and as-built documentation.
• Follow up with Permitting to ensure all required permits are closed.
• Coordinate with third-party vendors to resolve outstanding double-pole removal issues and related SPANS activities.
• Provide regular project closeout updates to team members and stakeholders until projects are fully closed.
• Complete monthly CCFs, maintain and adjust project forecasts, and prepare monthly reporting as required.
• Manage follow-up communications to ensure outstanding tasks, documentation, and closeout requirements are completed.
• Analyze business processes, workflows, schedules, and system requirements to identify opportunities for improved efficiency and performance.

Qualifications:

• 10+ years of relevant professional experience in business systems analysis, project coordination, project closeout, asset management, or a related field.
• Experience coordinating deliverables across Engineering, GIS, Permitting, Asset Management, and other operational teams.
• Familiarity with work order management, asset data validation, engineering documentation, and project closeout processes.
• Experience with enterprise systems such as Maximo and GIS platforms such as Smallworld or My World is beneficial.
• Strong analytical, problem-solving, documentation, and organizational skills.
• Ability to manage multiple priorities, track outstanding deliverables, and follow up with stakeholders to drive completion.
• Experience with monthly reporting, project forecasting, and tracking project status.
• Excellent written and verbal communication skills, including the ability to provide clear status updates and resolve issues across multiple teams.

Charlotte-based candidates are preferred, though candidates in other locations may be considered if they demonstrate exceptional alignment with the role.
