Senior Coordinator - Parts & PP

Key Responsibilities

• Delivery Coordination: Coordinate with customers, internal departments, and third-party logistics (3PL) providers to ensure safe, complete, and timely delivery of Prime Products.
• Logistics Planning: Plan and optimize delivery routes and schedules to improve efficiency, control transportation costs, and meet customer requirements.
• Forwarder Coordination: Assign shipments to accredited trucking companies and sea freight forwarders, request quotations, and negotiate competitive delivery rates.
• Shipment Monitoring: Track deliveries of equipment units, attachments, and parts for internal and external customers, providing timely shipment updates and addressing delivery delays.
• Payment and Cost Management: Review logistics invoices and billings, prepare payment requests, and monitor interdepartmental charges to ensure accurate and timely processing.
• Claims and Dispute Resolution: Coordinate the investigation and resolution of shipment discrepancies, damaged units, parts delivery issues, and claims involving third-party logistics providers. Prepare supporting documents and ensure incidents are reported promptly.
• Documentation and Reporting: Maintain organized shipping records, invoices, delivery documents, transmittal forms, and correspondence. Prepare and submit periodic reports to the immediate supervisor.
• Inventory and System Management: Ensure accurate system transactions and consistency between recorded inventory and actual stocks through proper documentation and coordination.
• Asset Management: Safeguard and ensure the proper use and maintenance of assigned company assets and equipment.
• Safety and Compliance: Maintain warehouse cleanliness and proper handling practices while complying with company policies, contamination control guidelines, government regulations, and ISO standards.
• Continuous Improvement: Recommend improvements to logistics processes, delivery performance, cost management, and documentation practices.

Qualifications

• Graduate of any four-year course.
• A degree in Supply Chain Management, Logistics, or a related field is an advantage.
• At least two (2) to three (3) years of relevant work experience in logistics coordination, shipping, transportation, warehouse operations, or supply chain management.
• Experience coordinating with third-party logistics providers, trucking companies, and freight forwarders is an advantage.
• Knowledge of delivery planning, shipment monitoring, invoice validation, claims processing, and logistics documentation.
• Good communication, negotiation, coordination, and problem-solving skills.
• Strong attention to detail, organizational skills, and the ability to manage multiple shipments and deadlines.
• Proficient in using computer applications and business systems for transactions, reporting, and records management.

Working Conditions

• Primarily based in the warehouse or company premises, with occasional local travel for official business.
• Requires close coordination with internal teams, customers, and logistics partners.
• May require availability outside regular working hours to address urgent delivery concerns and operational requirements.
