Senior Documentation Executive – Freight Forwarding

Job Summary

We are looking for an experienced and detail-oriented Senior Documentation Executive to manage shipping documentation and coordinate shipment activities in the freight forwarding industry. The ideal candidate should have good knowledge of shipping documents, Bills of Lading, shipping instructions, and shipment tracking.

Key Responsibilities

• Prepare and verify shipping documents, including Bills of Lading, invoices, packing lists, and certificates.
• Prepare and submit shipping instructions and verify them against booking details.
• Review draft and final Bills of Lading and coordinate necessary amendments.
• Coordinate with shipping lines, freight forwarders, customs brokers, shippers, and consignees.
• Follow up on vessel schedules, shipment status, transshipments, delays, and arrivals.
• Coordinate container arrangements, cargo release documents, and shipping document issuance.
• Monitor container release, empty container collection, equipment replacement, and gate-in deadlines.
• Support customs clearance by providing the required shipping documents.
• Follow up on freight charges, detention charges, amendments, and invoice discrepancies.
• Maintain accurate shipment records and update internal systems.
• Respond to customer and internal queries and resolve documentation-related issues.
• Prepare shipment status reports and escalate urgent issues to the concerned teams.

Requirements

• 2–5 years of experience in freight forwarding or shipping documentation.
• Good knowledge of Bills of Lading, shipping instructions, and export/import documentation.
• Experience coordinating with shipping lines and customs brokers.
• Good communication, coordination, and follow-up skills.
• Strong attention to detail and ability to meet deadlines.
• Proficiency in MS Office and shipment documentation systems.

A proactive and organized professional who can manage multiple shipments, ensure documentation accuracy, and coordinate effectively with customers and shipping partners.

Pay: ₹25,000.00 - ₹35,000.00 per month
