Senior Executive- Bidding

Job Purpose:

The Senior Executive – Bidding will be responsible for managing the end-to-end bid and tender process for Facilities Management (FM) opportunities across Hard Services, Soft Services, Integrated Facilities Management (IFM), and specialized service contracts. The role requires a strong understanding of the FM industry, tendering processes, pricing coordination, proposal preparation, and client requirements to ensure the submission of competitive, compliant, and high-quality bids.

Key Responsibilities:

Tender Identification & Management

• Monitor tender portals, client procurement platforms, and business opportunities across government, semi-government, and private sectors.
• Review RFPs, RFQs, EOIs, and tender documents to assess business opportunities.
• Analyze tender requirements, scope of work, contractual obligations, and technical specifications.
• Maintain a database of all active, submitted, won, and lost bids.

Bid Preparation & Coordination

• Coordinate with Operations, Engineering, HSE, Procurement, Finance, and HR teams to gather technical and commercial inputs.
• Develop comprehensive technical and commercial proposal submissions in line with client requirements.
• Prepare bid documentation, tender submissions, presentations, company profiles, and prequalification documents.
• Ensure all proposals meet compliance requirements and submission deadlines.

Commercial & Technical Evaluation Support

• Work closely with estimation and operations teams to develop competitive pricing models.
• Assist in manpower calculations, resource planning, mobilization strategies, and service delivery approaches.
• Support the review of cost structures, profit margins, and commercial risk assessments.

Proposal Writing & Documentation

• Prepare customized technical proposals outlining methodology, service delivery plans, staffing structures, transition plans, HSE compliance, quality assurance measures, and value-added services.
• Ensure all bid documents are professionally formatted and aligned with company branding standards.
• Develop and maintain a repository of standard bid templates, case studies, CVs, project references, and supporting documents.

Stakeholder Management

• Coordinate clarification requests and responses between internal stakeholders and clients.
• Participate in internal bid review meetings and strategy discussions.
• Collaborate with Business Development Managers during negotiations and post-tender discussions.

Reporting & Continuous Improvement

• Track bid performance metrics including win rates, submission timelines, and tender outcomes.
• Analyze unsuccessful bids and provide recommendations for improvement.
• Support initiatives to enhance bidding processes, proposal quality, and submission efficiency.

Qualifications:

• Bachelor's Degree in Business Administration, Engineering, Facilities Management, or a related field.
• Additional certifications in Bid Management, Proposal Writing, Project Management, or Facilities Management will be advantageous.

Experience Requirements:

• Minimum 5-7 years of experience in bidding, tendering, estimation support, or proposal management.
• At least 3 years of experience working in a Facilities Management company
• Proven experience handling FM tenders for Hard Services, Soft Services, IFM, or specialized FM contracts.
