Senior Executive / Manager - Warehouse

Role & responsibilities

1. Warehouse Operations Management

• Manage daily warehouse operations for Raw Materials (RM), Packing Materials (PM), Finished Goods (FG), and other materials.
• Ensure proper receipt, storage, material issuance, picking, packing, and dispatch.
• Maintain systematic material identification, labelling, segregation, and traceability.

2. Inventory Management & Control

• Monitor inventory levels, stock movement, and inventory accuracy.
• Implement FIFO/FEFO practices wherever applicable.
• Conduct physical stock verification, cycle counts, and stock reconciliation.
• Monitor expired, near-expiry, damaged, rejected, and obsolete materials.

3. Material Receipt & Issuance

• Verify incoming materials against purchase orders, invoices, and delivery documents.
• Ensure accurate preparation of Goods Receipt Notes (GRN) and material receipt records.
• Coordinate with QA/QC for sampling, testing, approval, and release of materials.
• Ensure timely issuance of materials to Production as per approved requirements.

4. Finished Goods & Dispatch Management

• Manage finished goods storage, order picking, packing, and dispatch activities.
• Ensure dispatch accuracy and timely delivery as per customer requirements.
• Maintain dispatch records, delivery challans, and related documentation.
• Coordinate with Sales, Logistics, and other departments for dispatch planning.

5. GMP, GDP & Regulatory Compliance

• Ensure compliance with GMP, GDP, SOPs, and applicable pharmaceutical regulations.
• Maintain segregation of approved, quarantined, rejected, and under-test materials.
• Ensure proper documentation, material traceability, and data integrity.
• Coordinate and support internal, customer, and regulatory audits.

6. Warehouse Storage & Safety

• Ensure appropriate storage conditions, temperature and humidity monitoring wherever required.
• Maintain warehouse housekeeping, pest control, cleanliness, and safety standards.
• Ensure effective space utilisation and proper material stacking.
• Prevent material damage, contamination, mix-ups, and storage-related losses.

7. ERP & Documentation Management

• Ensure timely and accurate data entry in ERP/SAP or other inventory management systems.
• Maintain GRN, stock registers, material issue slips, transfer records, and dispatch documentation.
• Prepare daily, weekly, and monthly warehouse MIS reports.
• Ensure accurate reconciliation between physical stock and system inventory.

8. Team Management & Coordination

• Supervise warehouse officers, executives, supervisors, and store personnel.
• Allocate duties, monitor team performance, and ensure adherence to SOPs.
• Train employees on GMP, GDP, warehouse procedures, documentation, and safety.
• Coordinate with Purchase, Production, QA, QC, Planning, Finance, and Logistics teams.
