Senior Facilities and Administration Manager

Job Roles & Responsibilities

1. Facilities Management & Operations

**- Oversee day-to-day facility operations across corporate offices and support locations.

• Ensure uninterrupted operation of building services including HVAC, electrical systems, plumbing, DG sets, fire safety systems, elevators, and utilities.
• Monitor facility performance through preventive and predictive maintenance programs.
• Maintain workplace standards, housekeeping, landscaping, and employee amenities.

2. Project Management (Capex & Infrastructure)

• Plan and execute office infrastructure projects, refurbishments, renovations, and workspace modifications.
• Prepare project feasibility studies, cost estimates, BOQs, budgets, and implementation schedules.
• Drive end-to-end execution of Capex projects, ensuring adherence to timelines, quality, and budget.
• Coordinate with architects, consultants, project management agencies, and contractors.

3. Budgeting & Cost Control

• Develop annual operating and capital budgets.
• Track monthly expenditure and budget utilization.
• Identify cost-saving and efficiency improvement opportunities.
• Participate in vendor negotiations and procurement planning.

4. Vendor & Contract Management

• Manage security, housekeeping, transport, pest control, cafeteria, courier, and maintenance service providers.
• Implement vendor KPIs, SLA monitoring, and performance review mechanisms.
• Lead tendering, technical evaluation, commercial comparison, and vendor onboarding processes.
• Ensure adherence to contract terms and service standards.

5. Transport Management

• Manage employee and pool vehicle operations.
• Oversee vehicle utilization, route optimization, fuel management, and driver deployment.
• Ensure regulatory compliance related to transportation services.
• Monitor transport vendor performance and service efficiency.

6. Statutory Compliance & Governance

• Ensure compliance with applicable labour laws, safety regulations, and facility-related statutory requirements.
• Monitor security compliance, fire safety audits, and emergency preparedness programs.
• Coordinate internal and external audits and ensure closure of audit observations.
• Maintain documentation, licenses, permits, and statutory records.

7. Workplace Experience & Employee Services

• Lead workplace enhancement initiatives focused on employee engagement and experience.
• Manage cafeteria services, recreational facilities, wellness initiatives, and employee events.
• Drive employee feedback mechanisms and continuous workplace improvements.

8. Sustainability & Operational Excellence

• Promote energy conservation and sustainability initiatives.
• Implement digitalization and automation projects within facility operations.
• Drive operational excellence through process improvements and data-driven decision-making**.****
