What they need

Looking for a role with real purpose? Are you an organised and detail-oriented finance professional who enjoys keeping things running smoothly behind the scenes? Do you take pride in accurate records, robust processes and providing excellent support to colleagues and other stakeholders? Keep reading!

Scottish Brain Sciences is a growing life sciences organisation focused on improving the detection, understanding and treatment of neurodegenerative conditions.

We are looking for an experienced, capable and highly organised Senior Finance Administrator to support the continued development of our financial operations and controls.

Based at our ONE BioHub office in Aberdeen, the Senior Finance Administrator will take ownership of the company’s day-to-day finance administration. Reporting to the Director of Operations, the postholder will maintain accurate financial records, manage customer and supplier invoicing, prepare payments, complete reconciliations and ensure that the finance function is well organised and effectively controlled. This is a hands-on position requiring strong practical finance experience and proven proficiency in Xero.

The successful candidate will also work closely with the Director of Operations to monitor cashflow, develop finance key performance indicators, improve management reporting and strengthen financial processes.

Some of what you’ll be doing:

  • Manage day-to-day finance administration, ensuring accurate and well-maintained financial records within Xero.
  • Process accounts payable and receivable, including invoices, payments, expenses and credit control.
  • Complete bank, supplier, customer and credit card reconciliations, maintaining strong financial controls.
  • Support payroll processing, VAT administration, audits and other statutory reporting requirements.
  • Monitor cashflow, prepare finance reports and KPIs, and highlight risks, variances and overdue actions.
  • Assist with budgeting and forecasting activities, providing accurate financial information to support decision-making.
  • Work with colleagues, suppliers and customers to resolve finance queries in a timely and professional manner.
  • Drive continuous improvement of finance systems, processes and controls, making effective use of Xero, Hubdoc and Excel.

The skills, experience, and qualifications you’ll bring:

  • Proven practical experience using Xero in a finance administration, bookkeeping or accounting role.
  • Strong experience across accounts payable, accounts receivable, invoicing, payments, expenses and reconciliations.
  • Good knowledge of UK accounting and bookkeeping principles, with strong financial housekeeping and audit-trail discipline.
  • Strong Excel, numerical, analytical and problem-solving skills.
  • Excellent attention to detail, organisation and accuracy, with the ability to manage competing priorities independently.
  • Clear written and verbal communication skills and a proactive, reliable and collaborative approach.
  • Ability to handle confidential and commercially sensitive information appropriately.

Even better if you have:

  • A relevant finance qualification, or experience in life sciences, healthcare, clinical research or another regulated environment.
  • Experience with Gov Gateway, HMRC, Hubdoc and similar platforms in support of payroll, pensions, VAT and year-end accounting processes.
  • Experience preparing cashflow forecasts, budgets, management reports or finance KPIs.
  • Experience working with external accountants or auditors.

Sound like you? We’d love to hear from you.
