Onsite - Lympstone
Ark is exclusive partnering with a highly respected, established SME based out of their stunning offices in Lympstone, with national branches and coverage. They are going through some exciting growth and change, so are now looking to bring onboard a highly organised Senior Office Administrator.
The role:-
As the business continues to grow and evolve, we’re looking for an exceptionally organised, proactive and hands-on Senior Office Administrator / PA to join the team and work closely with the Operations Director.
This is a varied role with plenty of ownership. You’ll provide day-to-day support to the Operations Director, while also taking responsibility for key office and operational administration across the business. From managing fleet administration and insurance claims to coordinating tenancy agreements, keeping on top of important compliance and operational tasks, and securing sign-off from Directors and Heads of Department across 14 branches, you’ll play a key role in keeping things organised and moving forward.
No two days will be the same, and we’re looking for someone who enjoys that variety - someone who spots what needs doing, takes ownership and gets it done, whether that’s coordinating a wider operational project or making sure the weekly ASDA order keeps the office fully caffeinated and hydrated.
Key Responsibilities: -
- Provide high-level administrative and operational support to the Operations Director, acting as a key point of coordination across the business.
- Manage the Operations Director’s diary, coordinating meetings, appointments and priorities, as well as arranging UK travel including flights, trains and overnight accommodation.
- Work closely with the Office Manager and Heads of Department to ensure the smooth running of day-to-day office and branch operations.
- Take ownership of key operational administration, including maintenance schedules, fleet management and insurance policies, fire alarm testing, tenancy agreements and warehouse health & safety requirements.
- Manage office equipment and supplies, maintaining accurate stock levels and taking ownership of business purchasing accounts, including Amazon and ASDA.
- Manage the monthly office spend budget, monitoring expenditure and ensuring costs remain within agreed budgets.
- Support the planning and delivery of cross-departmental projects, keeping timelines on track and ensuring managers and Directors are progressing time-sensitive actions.
- Attend key meetings, taking clear and accurate minutes and following up on agreed actions, deadlines and next steps.
- Hold managers and Directors accountable for agreed actions, proactively chasing updates and ensuring key priorities continue to move forward.
- Travel occasionally across the UK with the Operations Director, or independently where required for site visits, assessments and other operational requirements.
What we’re looking for: -
- 5+ years’ experience within office administration, executive support or a PA role, with proven experience across the key responsibilities outlined above.
- Highly organised and motivated by getting things done, with strong attention to detail and the ability to manage multiple priorities, projects and deadlines simultaneously.
- Confident working with external contractors and suppliers, with strong communication skills and the ability to build effective relationships with both internal and external stakeholders.
- Adaptable and comfortable with variety, with a hands-on approach and a willingness to roll up your sleeves and support across different departments and areas of the business when needed.
- A proactive problem-solver who takes ownership, follows things through and enjoys keeping projects and people on track.
- A full UK driving licence and the flexibility to travel occasionally across the UK to the company’s other locations.
- Confident and personable, with the ability to build strong relationships while also being comfortable challenging, chasing and holding people accountable when needed to get the job done.
