Join Our Mission
Spiral Skills is a youth-led, community-rooted education-to-employment charity based in Lambeth. Since 2015, we've supported more than 5,000 young people across South London, helping them build confidence, discover their strengths and access meaningful opportunities.
We believe young people don't lack talent or ambition. Too often, what is missing is access to opportunities, trusted relationships and the right support to take the next step.
We're now looking for a Senior Operations & Programmes Administrator to help strengthen the organisational foundations that enable our team and our mission to thrive.
About the Role
Great youth work needs great infrastructure behind it.
As our Senior Operations & Programmes Administrator, you'll play a central role in keeping Spiral Skills organised, connected and running effectively.
You'll take ownership of day-to-day administration across our people, finance, operations and governance functions, while providing practical administrative support to our youth programmes.
Working closely with our Head of People & Operations and colleagues across the organisation, you'll help ensure that our systems, processes and records are accurate, efficient and well maintained.
We're looking for someone who enjoys taking responsibility, managing competing priorities and finding practical solutions. Someone who can anticipate what needs to happen next, follow things through and help create a supportive environment for colleagues.
Key Responsibilities
People & HR Administration
- Coordinate recruitment, onboarding, induction and safer recruitment processes.
- Maintain accurate employee records, HR systems and documentation.
- Support staff development, training, wellbeing and performance review administration.
- Coordinate governance and Board administration, including meeting papers, records and statutory filings.
Finance Administration
- Support invoicing, payments, expenses and financial record-keeping.
- Maintain financial documentation, contract trackers and reporting information.
- Work alongside the Finance Lead to ensure financial administration is accurate and completed on time.
Operations & Office Management
- Coordinate day-to-day office operations, facilities and organisational administration.
- Maintain shared systems, calendars, records and administrative processes.
- Support meetings, staff activities, equipment management and routine IT administration.
- Identify opportunities to improve organisational efficiency and collaboration.
Schools & Programme Administration
- Coordinate school and programme administration, including schedules, referrals and cohort information.
- Maintain attendance records, learner journey trackers and programme reporting information.
- Support work experience coordination and employer administration.
- Ensure programme information is handled securely and escalate safeguarding concerns appropriately.
About You
We're less interested in whether you've held exactly the same job title before and more interested in whether you have the experience, mindset and values to make this role your own.
We're looking for someone who can demonstrate:
- Experience in administration, operations, office management or programme coordination.
- Excellent organisational skills and the ability to manage multiple priorities and deadlines.
- Confidence using digital systems, including HR, CRM or comparable organisational platforms.
- Experience maintaining accurate records and supporting people-related or financial administration.
- Strong written and verbal communication skills.
- Experience coordinating across teams and supporting senior colleagues.
- A proactive, solutions-focused approach with strong attention to detail.
- Good judgement when handling confidential information and safeguarding responsibilities.
Experience in the charity, youth or community sector, governance administration or using platforms such as BambooHR and Salesforce would be beneficial but isn't essential.
You don't need to tick every box. If you're excited about the role and believe your skills and experience could translate well to Spiral Skills, we'd encourage you to apply.
Why Work With Us?
We're proud to be a youth-centred, inclusive and collaborative organisation where colleagues are trusted, supported and encouraged to grow.
What we offer:
- Flexible, hybrid working arrangements.
- 25 days annual leave, plus bank holidays and an additional winter closure.
- Dedicated training and personal development support.
- Health and wellbeing support.
- Regular team activities and opportunities to connect.
- Paid sabbatical provision for eligible long-serving team members.
- Enhanced maternity and adoption leave.
