What they need
About the Role
Oakmont Business Services is hiring a Senior Operations Manager to work with clients on improving business processes, selecting and implementing systems, and managing day-to-day operational challenges.
In this role, you'll lead client projects, guide analysts and coordinators, and help business owners understand where their operations need attention. Some projects may involve fixing inefficient workflows, while others may require introducing new software or improving how information moves between teams.
You'll need to be comfortable reviewing the details, making practical recommendations, and explaining progress in straightforward language. Clients will rely on you to keep projects organised, raise problems early, and follow through on agreed actions.
What You'll Be Responsible For
- Review clients' existing business processes, identify bottlenecks, and develop improvement plans that teams can put into practice.
- Lead projects involving business systems, including requirements gathering, software evaluation, implementation planning, and rollout.
- Coordinate with software vendors, contractors, and client teams to keep projects moving.
- Guide analysts and coordinators, assign responsibilities, and review their work before it is shared with clients.
- Track operational measures and prepare monthly reports that explain performance, outstanding issues, and progress against agreed goals.
- Review procedures, vendor agreements, project records, and handover documents for accuracy.
- Work with business owners and frontline employees to understand operational problems and agree on workable solutions.
- Monitor project timelines, identify risks, and communicate delays or changes before they affect delivery.
- Document process changes, implementation decisions, and agreed responsibilities so everyone understands what happens next.
- Follow up on recommendations to check whether changes have been implemented and whether they are producing the intended results.
- Manage several client assignments while keeping records, deadlines, and communication organised.
Skills and Experience
We are looking for someone with practical experience managing business operations or leading projects that improve how organisations work.
Candidates should have:
- Several years of experience in business operations, process improvement, systems implementation, or a related field.
- Experience managing projects and coordinating work across different teams.
- Working knowledge of common business software, spreadsheets, and reporting tools.
- The ability to map business processes, identify inefficiencies, and develop realistic solutions.
- Experience working with software vendors or other external service providers.
- Strong organisational skills and the ability to manage competing priorities.
- Clear communication skills when working with business owners, managers, and frontline staff.
- Good judgement when reviewing documents, assessing problems, and deciding when an issue needs to be escalated.
- A consistent approach to documentation, progress reporting, and meeting agreed deadlines.
How We Work With Clients
We expect project records to be accurate, progress reports to reflect the actual situation, and commitments to be followed through. When a deadline is at risk or a recommendation needs reconsideration, you should explain the issue clearly and help the client determine the next step.
The person in this role should be comfortable giving clients a straightforward account of their operations, including what is working, what needs improvement, and what remains unfinished.
Hiring Process
The selection process includes three stages:
Initial conversation: Discuss your experience, the types of operational projects you've managed, and how you approach client work.
Process-mapping exercise: Work through a sample business scenario and outline how you would examine an existing process and identify opportunities for improvement.
Final meeting: Meet with the operations team to discuss your approach to project management, client communication, and operational problem-solving.
How to Apply
Apply through Indeed with your current Resume and a short note describing an operations project you led. Explain the problem, the changes you introduced, and the outcome, using measurable results where available.
Please address your application to Malik Abernathy.
