What they need
Core Responsibility :
1 - Project Strategy & End-to-End Management
Lead the full lifecycle of brand communication projects—from initial brief and scoping through to final delivery and post-project review. Partner closely with the Global Creative Director and Creative Director to translate creative ambitions into actionable, realistic project plans. Define project scope, objectives, milestones, and deliverables in alignment with brand strategy and business goals. Act as the central nervous system of the project, ensuring all moving parts—creative, production, legal, finance, and operations—are synchronized and moving in the same direction.
2 - Cross-Functional Coordination & Stakeholder Alignment
Serve as the primary bridge between the creative team, internal stakeholders (marketing, e-commerce, retail, product, legal, finance), and external partners (production companies, agencies, vendors). Facilitate clear, consistent communication across all parties, ensuring everyone is aligned on project goals, expectations, and timelines. Lead regular project status meetings, provide transparent progress updates, and proactively manage stakeholder feedback to keep the project on track. Anticipate potential friction points and facilitate solutions that balance creative ambition with business pragmatism.
3 - Budget Management & Financial Stewardship
Take full ownership of the project budget, working within parameters set by the brand leadership. Prepare detailed cost estimates in collaboration with the Art Buyer and Creative Director. Negotiate costs (including fees, salaries, production expenses, talent costs, and related rights) with selected vendors, following the Group's purchasing policy and always acting in Chow Tai Fook's best financial interest. Track expenditures meticulously throughout the project lifecycle, reconcile final costs, and ensure all purchases are issued with the relevant purchase orders. Remain accountable for the budget from project initiation to completion, flagging any overruns early and proposing mitigation strategies.
4 - Schedule Control & Resource Planning
Develop and present comprehensive project timelines to the Creative Director and internal stakeholders, taking full responsibility for adherence to deadlines. Identify critical path milestones and build in contingency buffers for inevitable creative iterations or production delays. Proactively manage resource allocation—ensuring creative team members, external partners, and production assets are available when needed. Juggle multiple projects simultaneously, prioritizing effectively to meet competing deadlines without compromising quality.
5 - Production Logistics & Operational
Oversight Work in close coordination with the Art Buyer and creative leads to define project specifications, production requirements, and technical deliverables. Oversee all operational aspects of production, including:
- Talent & Casting: Coordinate casting sessions and talent bookings in partnership with the Art Buyer.
- Location & Studio: Arrange location scouting, studio bookings, and natural setting permits.
- Logistics: Manage product shipping, transports, customs documentation, and international logistics for shoots within China and overseas.
- Travel & Accommodation: Arrange travel, transport, and accommodation for internal teams and external partners for shoots and production-related travel.
- Vendor Management: Brief external production partners and monitor their output to ensure it meets the creative direction, budget, and timeline. Conduct post-project evaluations to assess vendor performance.
6 - Legal Administration & Contract
Management Oversee the signing and negotiation of copyright transfer agreements, talent contracts, usage rights, and vendor service agreements in close collaboration with the legal team. Ensure all contractual documents are properly executed, filed, and compliant with Group policies. Proactively manage rights clearance, licensing, and any legal risks associated with production and creative output.
7 - Quality Assurance & Risk Management
Establish and enforce quality control checkpoints throughout the project lifecycle—from concept approval through to final asset delivery. Ensure all deliverables meet brand standards, technical specifications, and platform requirements. Identify potential risks (budget, timeline, creative, legal, operational) early and develop contingency plans to mitigate them. Maintain a "no surprises" approach, flagging issues proactively to stakeholders with recommended solutions.
8 - Cross-functional Duties
- Database Management: Keep the project database up to date with all project documentation, budgets, contracts, timelines, and creative assets, ensuring easy retrieval for future reference and audits.
- Collaboration: Participate in departmental cross-functional discussions, including international sourcing, subsidiary collaboration, and resource sharing.
- Mentorship: Train, guide, and support junior project managers, apprentices, and interns joining the team. Delegate tasks effectively and foster a collaborative, growth-oriented environment.
- Team Culture: Demonstrate a supportive, team-oriented attitude that goes beyond immediate project priorities. Contribute to a positive, solution-focused studio culture.
