·         Contract administration: Monitor contractor performance, submittals, requests for information, schedules, payment applications, retainage, change orders, claims, warranties, lien releases, and closeout deliverables.

·         Financial control: Track commitments, forecasts, contingencies, reserve-funded expenditures, cash flow, and schedule impacts; reconcile invoices with completed work; and provide clear variance reporting.

·         Governance and communication: Prepare Board-ready reports, executive summaries, meeting materials, owner notices, project dashboards, and presentations. Communicate construction impacts, access requirements, shutdowns, and safety precautions in a timely and resident-focused manner.

·         Site oversight: Conduct routine field observations, document progress and deficiencies, coordinate owner and vendor access, maintain site logistics, and escalate unsafe conditions or material deviations promptly.

·         Team coordination: Lead cross-functional collaboration among property operations, maintenance, security, accounting, legal counsel, design professionals, contractors, inspectors, and vendors.

·         Records: Maintain complete project files, including approvals, contracts, permits, plans, specifications, correspondence, meeting minutes, financial records, inspection reports, photographs, warranties, and as-built documents in accordance with association policy and applicable law.

·         Emergency response: Support hurricane preparedness, post-storm assessment, emergency stabilization, insurance documentation, and recovery projects when needed.

·        Perform other duties reasonably related to the position and assigned by the General Manager.

·        Coordinate with licensed engineers, architects, contractors, building officials, association counsel, and the association’s licensed Community Association Manager (CAM) on matters requiring professional interpretation or authorization.

·        Support compliance with applicable milestone inspection and Structural Integrity Reserve Study requirements and implement Board direction related to resulting projects and funding plans.

·        Never direct or approve work that violates applicable law, permit conditions, approved plans, safety requirements, or the limits of delegated authority.

·        Avoid actual or apparent conflicts of interest, gifts, kickbacks, undisclosed vendor relationships, or preferential treatment; promptly disclose potential conflicts.
