Senior Property Admin Associate - Makati

About the Role

Are you a detail-oriented, service-driven property management professional with a passion for operational excellence? We're looking for a Senior Property Admin Associate to lead and elevate our soft service operations!

In this pivotal on-site role, you will act as the key anchor for property presentation, cleanliness, safety, and operational efficiency. You will directly supervise in-house teams and specialized third-party contractors—ensuring our retail spaces, concourses, public washrooms, and common areas remain spotless, functional, and welcoming for thousands of daily mall patrons.

What You’ll Do Day-to-Day

• 🧹 Contractor Leadership & Oversight:

  • Direct and supervise third-party service providers covering housekeeping, hygiene, pest control, waste management, and landscape maintenance.
  • Evaluate vendor performance monthly using Key Performance Indicators (KPIs) and Service Level Agreements (SLAs) to hold service teams accountable to high standards.

• 🏆 Quality Control & Standards Enforcement:

  • Implement BICS (British Institute of Cleaning Science) best practices across all facilities to consistently achieve Mystery Shopper ratings above 98%.
  • Conduct daily walkthroughs and inspections across all zones—including common areas, washrooms, loading bays, parking facilities, landscapes, and back-of-house spaces.
  • Maintain a strong physical presence in public areas, particularly during peak shopping hours, weekends, and major promotional events.

• 🛡️ HSE & Emergency Preparedness:

  • Conduct health, safety, and environmental (HSE) reviews, process work permit applications, and review Safe Work Method Statements (SWMS).
  • Serve as the primary on-site responder for facilities helpdesk escalations, emergency disruptions, equipment failures, or severe weather recovery efforts.

• 💰 Budget Control, Procurement & Projects:

  • Drive operational efficiency and implement cost-saving initiatives while managing operations under a fixed budget.
  • Track and monitor stock levels, consumables, and spare parts to ensure efficient utilization without stockouts or waste.
  • Draft technical Scopes of Work (SOW) and evaluate vendor proposals prior to submitting recommendations to Corporate Facilities Management (CFM).
  • Identify and log construction defects for new site developments during takeover/handover phases.

• 📊 Sustainability & Reporting:

  • Collate, record, and analyze sustainability data related to waste management and utility usage to support corporate environmental goals.
  • Prepare detailed operational, incident, damage, and compliance submittals on time.

What We’re Looking For

• 🎓 Education: Bachelor’s Degree in Business Management, Hospitality Management, or a related business/technical field.

• 💼 Experience: 1-2 years of hands-on experience in Mall Operations or Property Management with a focus on managing soft service providers (in-house and outsourced).

• 📜 Certification: BICS certification is preferred (not required).

• 🛠️ Technical Proficiency:

  • Solid working knowledge of local building operations, health and safety regulations, and environmental codes.
  • Familiarity with basic operational accounting, cost control, and managing fixed budgets.
  • Proficiency in MS Office applications (MS Word, MS Excel, MS PowerPoint).

• 🤝 Core Skills: Strong critical thinking, report writing, contractor management, project oversight, and clear verbal and written communication abilities.
