Senior Store Officer

Job Title: Senior Store In-Charge / Store Manager – Building Maintenance Materials

Reports To

FM Operations Head / Facility Manager / Procurement Head

Purpose of the Role

Responsible for end-to-end inventory management of building maintenance materials (plumbing, electrical, civil, painting, hardware, HVAC spares, housekeeping consumables, etc.) across the central (main) store and all zone/site stores under FM contracts, ensuring material availability, accountability, and cost control across multiple client sites.

Key Responsibilities

1. Inventory & Stock Management

Maintain optimum stock levels at main store and each zone/site store; set min-max/reorder levels per site SLA

Conduct regular physical stock verification and reconcile with system records

Prevent stock-outs for critical maintenance items and avoid overstocking/dead stock

2. Zone/Site Store Coordination

Monitor material flow from main store to zone/site stores based on site-wise consumption patterns

Standardize storage, labeling, and issue procedures across all sites

Visit zone/site stores periodically to audit practices and stock accuracy

3. Material Receipt & Issue

Verify GRN (Goods Receipt Note) against PO, quality, and quantity

Approve material indents from technicians/site teams after verifying the requirement

Ensure proper issue documentation (issue slip/gate pass) for materials dispatched to sites

While issuing new material against a damaged/worn item, verify and collect the old damaged material before releasing the replacement (old-for-new exchange)

4. Vendor & Procurement Support

Coordinate with procurement for timely replenishment

Assist in vendor evaluation for maintenance consumables (quality, pricing, lead time)

Flag urgent/emergency purchase requirements, especially for critical client SLAs

5. Documentation & Reporting

Maintain stock ledgers, bin cards, and ERP/inventory software entries

Generate MIS reports: consumption trends, fast/slow-moving items, wastage, site-wise usage

Track material cost against site/client maintenance budgets

Track material warranties and coordinate replacements with vendors where applicable

Verify and process replacement of damaged materials

6. Team & Compliance

Supervise store assistants/helpers at main and zone stores

Ensure safety storage norms (especially for paints, chemicals, gas cylinders)

Implement FIFO/FEFO practices and prevent pilferage

Ensure compliance with client-specific FM contract requirements and audits

Requirements

Experience: 6–10 years in stores/inventory management, preferably in facilities management, real estate, or building materials companies

Education: Graduate (Commerce/Any)

Skills: ERP/inventory software (SAP, Tally, or similar), MS Excel, strong reconciliation and documentation skills

Other: Willingness to travel between client sites/zone stores, people management experience, familiarity with multi-site/multi-client operations

Pay: AED6,000.00 - AED8,000.00 per month
