Senior Tender Executive

Job Summary

We are looking for a proactive, detail-oriented and experienced Senior Tender Executive to manage the complete bidding process for projects related to Advertising, Digital Promotions, Branding, Media, Events and Communication Solutions.

The role will involve identifying relevant tender opportunities, analysing RFP requirements, coordinating technical and commercial proposals, ensuring documentation and compliance, and managing timely bid submissions.

Key Responsibilities

• Identify and track relevant Government & Private tender opportunities across Advertising, Branding, Digital, Media, and Events.
• Review RFPs, RFQs and tender documents and assess eligibility, scope, and submission requirements.
• Manage the end-to-end tendering and bidding process within defined timelines.
• Coordinate with Business Development, Creative, Design, Finance, Operations, and Management teams for bid preparation.
• Prepare and compile technical & commercial proposals, credentials, case studies, and supporting documents.
• Ensure documentation, compliance, accuracy, and timely submission of bids.
• Manage e-tender/e-procurement portal submissions and track deadlines, amendments, and corrigenda.
• Track bid status, technical evaluations, financial openings, and award results.
• Support pre-bid queries, clarifications, negotiations, and post-bid requirements.
• Maintain tender trackers, submission records, and supporting document repositories.

Qualifications & Skills

• Minimum 5+ years of experience in Private/Government Tendering, Bid Management, Proposal Management, or Business Development.
• Experience in Advertising, Branding, Digital Marketing, Media, Events, or Experiential Marketing is preferred.
• Strong knowledge of Government RFPs, tender documentation, and e-procurement portals.
• Hands-on experience in technical and commercial proposal preparation.
• Excellent communication, documentation, coordination, and stakeholder management skills.
• Strong attention to detail with the ability to manage multiple tenders and deadlines simultaneously.
• Strong analytical, follow-up, and problem-solving abilities.
• Proficiency in MS Office, particularly Word, Excel, and PowerPoint.
• Experience handling Advertising, Branding, Digital, Media, or Event-related tenders will be an advantage.

Desired Candidate Profile

• Candidates with hands-on experience in end-to-end tender management and bid coordination.
• Strong understanding of RFPs, EOI, RFQs, technical bids, commercial bids, eligibility criteria, and compliance documentation.
• Experience working with e-tendering / e-procurement portals.
• Strong ability to interpret tender documents and identify key submission requirements.
• Highly organised, deadline-driven, and detail-oriented.
• Proactive approach with excellent follow-up and coordination skills.
• Ability to work independently while coordinating with multiple internal and external stakeholders.
