Senior Warehouse Coordinator

As we continue to grow, we're looking for a Senior Warehouse Coordinator to manage the day-to-day operational relationship between Baly and our third-party Distribution Center (3PL) partner and ensure smooth inventory flow across our grocery network.

Role Summary

The Senior Warehouse Coordinator will act as the primary Point of Contact (POC) between Baly and the 3PL Distribution Center. The role will coordinate supplier inbound, inventory movements, and DC-to-dark-store transfers while monitoring the 3PL's performance against agreed SLAs, inventory accuracy, fulfillment standards, and operational requirements.

The ideal candidate has strong experience in supply chain, logistics, FMCG, retail, or 3PL operations, with excellent coordination and follow-up skills and the ability to manage external partners and resolve operational issues.

Key Responsibilities

• Act as the main POC and day-to-day coordinator between Baly and the 3PL DC provider.
• Manage the operational relationship with the DC and ensure adherence to agreed SLAs, processes, and service standards.
• Coordinate with suppliers and internal Supply Chain teams to ensure inventory is delivered to the DC according to purchasing and supply plans.
• Share and coordinate inbound plans, purchase orders, and expected supplier deliveries with the DC.
• Monitor supplier receiving and ensure shortages, damages, rejections, and receiving discrepancies are identified and resolved.
• Coordinate stock transfer requests from the DC to dark stores and ensure the 3PL fulfills them accurately and on time.
• Track transfers from request through picking, dispatch, transportation, and store receipt.
• Monitor inventory levels and inventory accuracy at the DC and investigate discrepancies with the 3PL.
• Coordinate regular inventory reconciliation and cycle-count activities with the DC provider.
• Monitor DC performance including receiving turnaround time, fulfillment rate, picking accuracy, inventory accuracy, dispatch SLA, damages, and losses.
• Handle and escalate operational issues with the 3PL and ensure corrective actions are implemented.
• Coordinate with Demand Planning on replenishment requirements and expected inventory movements.
• Work closely with Dark Store Operations to resolve shortages, transfer discrepancies, damaged products, and delivery issues.
• Coordinate the management of damaged, expired, near-expiry, returned, and non-sellable inventory with the 3PL.
• Ensure the DC follows agreed FIFO/FEFO, storage, temperature-control, food-safety, and product-handling standards.
• Review 3PL operational reports and maintain clear visibility of DC performance for the Supply Chain Manager.
• Support 3PL invoice validation by reviewing storage, handling, fulfillment, transportation, and other applicable charges against agreed commercial terms and actual activity.
• Identify recurring operational issues and work with the 3PL and internal teams on continuous process improvement.
• Support capacity planning and ensure the DC can accommodate expected inventory growth, peak periods, and expansion into additional dark stores.
• Perform other supply chain duties assigned by the Supply Chain Manager.

Requirements

• Bachelor's degree in Supply Chain Management, Logistics, Business Administration, or a related field.
• 2–4 years of experience in Supply Chain, Logistics, FMCG, Grocery, Retail, Distribution, or 3PL Management.
• Previous experience working with or managing a 3PL / outsourced warehouse provider is strongly preferred.
• Strong understanding of inventory management, inbound logistics, replenishment, stock transfers, and warehouse operations.
• Good understanding of SLAs and logistics performance management.
• Experience working with grocery/FMCG inventory and expiry-sensitive products is preferred.
• Experience with ERP, WMS, or inventory-management systems.
• Strong Excel / Google Sheets and analytical skills.
• Strong coordination, communication, and stakeholder-management capabilities.
• Comfortable managing operational escalations and holding external partners accountable.
• Highly organized and detail-oriented with the ability to manage multiple daily operational priorities.
• Comfortable working in a fast-paced, high-growth environment.

Preferred Qualifications

• Experience in grocery, FMCG, quick-commerce, e-commerce, or retail distribution.
• Experience managing outsourced warehousing or logistics operations.
• Experience working with cold-chain, perishables, or expiry-sensitive products.
• Experience monitoring and reporting 3PL performance against SLAs.
• Experience with WMS, ERP, inventory reporting, or supply-chain analytics tools.
• Strong understanding of FIFO/FEFO and food-safety requirements.
