Service Administration/Costing Clerk

About the role

Black Truck & Ag is seeking a Service Administration/Costing Clerk to join our team in Toowoomba, QLD. This is a full-time position that plays a crucial role in supporting our service operations and financial accuracy. You will be responsible for managing administrative tasks and costing activities that directly impact the efficiency of our service department and the financial health of the organization. This role is essential in maintaining organized records, processing service information, and ensuring accurate cost tracking across our operations.

Key responsibilities

• Processing and managing service documentation, including work orders, service tickets and customer requests
• Recording and maintaining accurate service costing information and labor cost allocations
• Data entry and maintenance of service records in accounting and management systems
• Preparing costing reports and analyzing service expenses to support management decision-making
• Coordinating with service technicians and administrative staff to ensure timely completion of documentation
• Invoicing customers for services rendered and managing service billing processes
• Reconciling service costs with budgets and identifying discrepancies
• Filing and organizing service records and documentation in compliance with company procedures
• Supporting the service manager with administrative requirements and operational needs
• Maintaining confidentiality and professionalism when handling sensitive business information

What we're looking for

• Proven experience in administrative or clerical roles, ideally within a service-based or trade industry environment
• Strong numerical and costing knowledge with the ability to accurately manage financial records
• Proficiency in Microsoft Office applications, particularly Excel and Word
• Experience with accounting software or service management systems is advantageous
• Excellent organizational skills with the ability to prioritize multiple tasks effectively
• Strong attention to detail and commitment to accuracy in data entry and record-keeping
• Effective communication skills and the ability to work collaboratively with diverse teams
• Reliability, punctuality and a professional approach to work
• Ability to work independently and take initiative within a structured environment
• A willingness to learn and develop skills in costing and service administration practices
