Health New Zealand | Te Whatu Ora is committed to delivering high-quality healthcare for all New Zealanders. We are focused on improving access to care, delivering better health outcomes, and building a sustainable health system for future generations.

About the role

We are seeking a highly organised and motivated Service Administrator to join our Surgical Services team at Southland Hospital in Invercargill.

As the Service Administrator, you will play a vital role in supporting the day-to-day operations of Surgical Services. This is a busy and rewarding position where your organisational skills, attention to detail, and ability to manage competing priorities will contribute directly to the efficient delivery of patient care.

Working closely with clinical and non-clinical teams, you will provide high-quality administrative support, coordinate service processes, maintain accurate records, manage communications, and help ensure services operate smoothly and effectively.

Reporting to the Surgical Services Manager, you will be an integral part of a team committed to delivering excellent outcomes for patients, whānau, and the wider Southland community.

Responsibilities include the following:

  • Providing comprehensive administrative support to Surgical Services
  • Coordinating and managing workflows, processes, and scheduling activities
  • Maintaining accurate information and data across relevant systems
  • Supporting service planning, reporting, and continuous improvement initiatives
  • Communicating effectively with clinicians, patients, and stakeholders
  • Identifying and resolving problems through logical analysis and sound judgement
  • Contributing to efficient service delivery and improved patient access
  • Ensuring compliance with organisational policies, procedures, and health and safety requirements

About you

You will be someone who:

  • has proven administration experience in a complex environment, preferably within healthcare
  • demonstrates excellent organisational and time-management skills
  • can confidently manage multiple priorities while maintaining attention to detail
  • has strong interpersonal and communication skills
  • is solution-focused and enjoys improving processes and systems
  • builds positive working relationships across multidisciplinary teams
  • maintains high standards of professionalism, integrity, and confidentiality
  • is adaptable, resilient, and committed to continuous improvement

We are looking for someone who excels in the following:

  • Process management: streamlining workflows and improving efficiency
  • Problem solving: identifying issues and implementing practical solutions
  • Decision making: exercising sound judgement and initiative
  • Communication: providing timely and accurate information
  • Organisational awareness: understanding how to navigate complex environments and work collaboratively to achieve results

If you are an organised professional who thrives in a fast-paced environment and is passionate about supporting high-quality healthcare, we'd love to hear from you.
