What they need
Surrey Fire & Safety Limited are looking for an experienced Service Administrator/Scheduler to join their office in Camberley.
This is a busy and varied role, primarily focused on our passive fire safety department. You’ll manage enquiries from first contact through to invoicing, working closely with customers, engineers and the wider team. There will also be times when you’re needed to support other areas of the business, such as fire alarms and fire extinguishers, so flexibility is key. It’s important that you’re a ‘people person’ who is confident on the phone.
We pride ourselves on our high level of customer service, so it’s important you’re customer focused too.
We are a small, friendly and supportive team who pull together to get the job done, and are therefore seeking someone to join us who is a strong team player.
Your daily activities will include:
- Answering passive fire safety phone enquiries and handling customer queries and complaints.
- Reviewing enquiries for Fire Risk Assessments, compartmentation, fire safety training, fire door surveys and associated remedial works, and passing them to the appropriate member of the team.
- Preparing and sending quotes using our job management system, Uptick.
- Converting approved quotes into jobs and scheduling them in for our engineers.
- Reading survey and assessment reports, passing them to the management team for review, and relaying their recommendations back to the customer.
- Following up regularly with customers, engineers and other stakeholders to keep jobs moving.
- Chasing outstanding quotes and approvals.
- Generating and sending invoices from Uptick.
- Providing cover for other areas of the business, including fire alarms and fire extinguishers, when required.
Previous experience
- Experience of working in an office in an admin role (must-have)
- Experience of arranging and scheduling appointments for a field team (must-have)
- Experience of creating quotes (must-have)
- Experience of creating invoices (preferred)
- Knowledge of passive fire protection or the wider fire safety industry (preferred)
- Experience of using Uptick or similar job management software (preferred)
Desired skills
- Great customer service approach, strong attention to detail, excellent time management and organisational skills, computer literate, a high standard of spoken and written English, and good with numbers.
Personal qualities
- A self-starter who is able to use their own initiative and has a strong work ethic. Friendly and positive, flexible and a team player, comfortable managing multiple jobs and priorities at once.
Qualifications required
- GCSE Level 6 or Grade B equivalent in English and Maths or above preferred, otherwise you may be asked to take a brief Maths and English test.
