Service & Administration Coordinator

About the role

You'll be at the heart of day-to-day service operations, working closely with customers, property managers and the field team to coordinate incoming work, manage scheduling and keep communication flowing from initial enquiry through to job completion. Working closely with the Managing Director and Field Operations Manager, you'll take ownership of the day-to-day service coordination and administration of the business.

Key responsibilities

• Managing incoming phone calls and email enquiries
• Managing and maintaining the shared office inbox
• Creating and managing jobs within ServiceM8
• Scheduling day-to-day maintenance and service work
• Coordinating appointments with customers, tenants and property managers
• Keeping plumbers' schedules organised and productive
• Responding to customer and property manager enquiries and providing job updates
• Coordinating access, keys and appointment confirmations
• Following up jobs requiring information, approval or further attendance
• Monitoring jobs to ensure they continue moving through the system

About you

• Proven administration and/or customer service experience
• Highly organised and comfortable managing multiple priorities
• Communicates professionally and confidently by phone and email
• Takes ownership and follows things through to completion
• Strong attention to detail
• Comfortable making sensible day-to-day decisions
• Can adapt when priorities or schedules change
• Confident learning and using technology
• Enjoys working as part of a small team
• Takes pride in providing a great customer experience
