What they need
About the role
Vision Systems is seeking a Service Co-ordinator to join our team in a full-time capacity, based in Christchurch Central Canterbury.
Do you live and breathe for a tidy schedule, but roll with the inevitable changes and challenges that all co-ordinators face? Do clients love you, and your technical team have you on speed dial? Can you wrangle SimPRO, cross every "t" and dot every "i" and translate technical jargon into a common-sense invoice? Do your spidey senses just know when a contract is about to roll over?
In this role, you will be responsible for coordinating and scheduling services across our operations (mostly focussing on the Southern Region) and ensuring that faults and service delivery are managed efficiently and professionally.
You will play a vital part in our planning and scheduling function, acting as a key liaison between our teams and clients to ensure seamless service execution and customer satisfaction. You'll have a star senior co-ordinator to learn the ropes from, but need to have the right attitude to bring to the role.
What you'll be doing:
- Scheduling and coordinating service appointments and urgent reactive work to optimise resource allocation and meet client requirements
- Liaising with internal teams and external clients to confirm service dates, times and specific requirements
- Maintaining accurate scheduling systems and documentation to track service delivery and project progress
- Resolving scheduling conflicts and adapting plans to accommodate changes
- Monitoring fault resolution and ensuring work is completed on schedule and within scope
- Prepare planned preventative maintenance reports for client submission
- Providing administrative support to the service delivery team, including preparing schedules, reports and related documentation
- Communicating with clients regarding service status, delays or changes in a professional and timely manner
- Assisting with the coordination of resources, materials and personnel to support field operations
What we're looking for:
- Proven experience in service coordination, scheduling or project administration, preferably within the building maintenance or construction industry
- Strong organisational and time management skills with the ability to manage multiple priorities and deadlines
- Proficiency in scheduling software and Microsoft Office applications, particularly Excel
- Experience with using SimPRO is a definite advantage
- Excellent communication skills, both written and verbal, with the ability to interact professionally with internal teams and external clients
- Attention to detail and accuracy in maintaining schedules and documentation
- Problem-solving ability and flexibility to adapt to changing circumstances
- A proactive approach to work with the ability to work independently and as part of a team
- Knowledge of construction industry practices and terminology would be advantageous
