Service Coordinator

Our client is a privately owned, well-established provider to the commercial and industrial refrigeration and air conditioning industry throughout Queensland. Operating from a modern facility in Murarrie, the business has built a strong reputation within the HVACR industry, with over 20 years operating in the sector. 

An opportunity is now available for a senior Service Coordinator to join their established Service Department. This is a key position supporting the Service Manager across the day-to-day coordination of field technicians, while also contributing to service reporting, WIP management, invoicing readiness and ongoing process improvement.

The OpportunityWorking closely with the Service Manager, technicians, supervisors and finance team, you will help coordinate service delivery from the initial customer request through to scheduling, completion and invoice readiness.

Your responsibilities will include:

• Coordinate and schedule technicians across breakdowns, preventative maintenance, quoted works and maintenance contracts
• Receive and allocate service requests based on urgency, location, technician capability and workload
• Maintain regular communication with customers, technicians and supervisors regarding service requirements and job progress
• Monitor open and completed service calls, following up outstanding labour, materials, documentation and costs
• Review technician notes and service information to support accurate and timely invoicing
• Assist with WIP reviews and service performance reporting
• Maintain accurate client, site, asset and equipment information
• Raise purchase orders and assist with tracking supplier costs and job-related documentation
• Support technician timesheet and labour record accuracy
• Assist the Service Manager with reporting, operational analysis and continuous improvement initiatives
• Contribute to the implementation and ongoing improvement of service management systems and processes

About youYou will be an organised and proactive Service Coordinator who understands the importance of balancing customer requirements, technician workloads and commercial outcomes.

Ideally, you will bring:

• Preferably with 3+ years of experience in service coordination, service administration or a similar operational support role
• Exposure to ERP or field service software such as Dynamics 365, Business Central, SAP
• Proficient with Microsoft Office, particularly with Excel and Word
• Knowledge of HVACR, refrigeration, or trade services is highly regarded
• Strong organization, clear communication, and a valid driver's licence.
