Your new companyOur client is an established technical services contractor delivering HVAC and security systems service, maintenance and project works across Sydney. Supporting a broad commercial customer base, the business operates a busy field service team providing planned and reactive maintenance alongside minor works and installation projects. They are looking for an experienced Service & Operations Coordinator to join the team and support the day-to-day coordination of their technicians and service operations.

Your new roleThis is a busy coordination position where you will be responsible for scheduling technicians, managing service requests and ensuring jobs are followed through from initial booking through to completion. Working closely with technicians, customers and management, you'll play an important part in keeping the service department organised and ensuring customers receive clear communication throughout the process. Your responsibilities will include:

• Scheduling and dispatching HVAC and security technicians for reactive and planned maintenance.
• Managing technician diaries, workloads and changing priorities throughout the day.
• Coordinating breakdowns, urgent call-outs and scheduled maintenance visits.
• Acting as a key point of contact for customers regarding bookings, ETAs and job updates.
• Liaising with technicians to ensure they have the correct job information and materials.
• Monitoring open jobs and following up on outstanding works.
• Preparing quotes, purchase orders and service documentation.
• Assisting with invoicing, job costing and general service administration.
• Ordering parts and liaising with suppliers where required.
• Maintaining accurate job information within the TSM system.
• Supporting the wider operations team with reporting and general administration.

What you'll need to succeed

• Previous experience as a Service Coordinator, Service Administrator, Scheduler, Maintenance Coordinator or Operations Coordinator.
• Experience within an HVAC, air conditioning, security, electrical, fire, mechanical or broader technical services environment would be highly regarded.
• Experience scheduling and coordinating tradespeople or field-based technicians.
• Strong customer service skills with confidence dealing with both clients and technicians.
• Ability to manage multiple live jobs and changing priorities in a busy service environment.
• Strong organisational and communication skills.
• Good attention to detail and the ability to follow jobs through to completion.
• Previous experience using TSM would be highly advantageous.
• Experience with other job management or field service systems would also be considered.
