What they need

As our operations continue to grow, we're looking for a highly organized, tech-savvy, and detail-oriented Service Operations Coordinator to support our field service operations.

This is not just a scheduling or administrative position. We're looking for someone who is exceptionally comfortable working with technology, takes ownership of every detail, and communicates clearly and professionally with customers and internal teams.

What You'll Do

  • Manage Field Service Scheduling: Coordinate daily technician schedules, service appointments, and work assignments while keeping information accurate and up to date.
  • Own Work Orders from Start to Finish: Create, monitor, update, and close service work orders, ensuring every detail is documented correctly.
  • Work Extensively with Technology: Use CRM systems, scheduling software, spreadsheets, and other digital tools to manage daily operations, maintain records, and track service activities.
  • Coordinate with Customers and Technicians: Serve as a central point of communication between customers, field technicians, and the Service Manager.
  • Deliver Excellent Customer Communication: Provide proactive updates, respond to inquiries, and ensure customers are informed throughout the service process.
  • Maintain Accurate Records: Ensure work orders, customer information, schedules, and service documentation are complete, organized, and error-free.
  • Identify and Resolve Issues: Catch discrepancies, anticipate scheduling conflicts, and proactively address problems before they affect customers or operations.
  • Follow Through: Track open items, outstanding requests, and service activities until they are fully resolved.

What We're Looking For

The following three qualifications are essential for success in this position:

1. Exceptional Technology Proficiency (Required)

  • Extensive hands-on experience using business software in a professional environment.
  • High proficiency with CRM systems, scheduling platforms, spreadsheets (Excel or Google Sheets), and digital recordkeeping tools.
  • Ability to learn and navigate unfamiliar software quickly and independently.
  • Comfortable switching between multiple systems, managing digital workflows, and troubleshooting everyday software challenges.
  • Demonstrated ability to use technology to stay organized, improve efficiency, and maintain accurate information.

2. Outstanding Attention to Detail (Required)

  • Exceptional accuracy when managing schedules, work orders, customer information, and administrative records.
  • Strong organizational skills with the ability to manage multiple priorities without overlooking important details.
  • Proven ability to identify inconsistencies, prevent errors, and maintain complete documentation.
  • Strong ownership mentality and reliable follow-through on assigned responsibilities.

3. Excellent Written and Verbal Communication (Required)

  • Clear, professional, and effective communication with customers, technicians, and management.
  • Strong business writing skills, including emails, updates, and documentation.
  • Ability to communicate complex scheduling or service information clearly and accurately.
  • Proactive customer service approach and confidence handling multiple conversations and priorities.

Additional Qualifications

  • Previous experience in administrative operations, service coordination, scheduling, dispatch, or similar roles.
  • Ability to work independently in a fast-paced, technology-driven environment.
  • Strong problem-solving skills, adaptability, and accountability.
  • Ability to prioritize competing demands while maintaining accuracy and excellent customer service.
  • Must be available to work full-time, on-site in Spring, TX.

Preferred Qualifications (Not Required)

  • Salesforce CRM experience.
  • Experience with field service management software or work-order management systems.
  • Previous experience supporting field technicians or service-based operations.
  • Security, fire alarm, or related industry experience.
  • Bachelor's degree or equivalent education.

Important: Industry-specific experience is not required. We are prioritizing candidates with proven technology proficiency, meticulous attention to detail, and outstanding communication skills over candidates who only have traditional scheduling or industry experience.

Compensation & Benefits

  • Base Salary: $50,000–$60,000 annually, depending on experience.
  • Performance-based bonus opportunity.
  • Two weeks of paid vacation.
  • Comprehensive benefits package, including:
  • Health insurance

  • Vision insurance
  • 401(k) with employer matching
  • Employee assistance program
  • Paid time off
