Our dealership group has earned Kubota's highest recognition as an Elite Dealer for six consecutive years and ranks among the top 5% of Kubota dealers nationwide.

We believe in developing our people, promoting from within, and providing opportunities for employees who are willing to learn, take ownership, and contribute to the team's success.

Position Overview

Greene County Kubota is looking for a dependable, organized, and customer-focused Service Writer to join our service department in Greeneville, TN.

The Service Writer is a key link between our customers, technicians, and parts department. This position is responsible for creating an excellent customer experience, managing repair orders, communicating repair needs and updates, coordinating service work, and helping the department meet its performance goals.

We are looking for someone who takes pride in their work, follows through on commitments, communicates professionally, and understands that customer satisfaction and repeat business are essential to long-term success.

Equipment or dealership experience is helpful, but we are willing to train the right person with a strong work ethic and a willingness to learn.

Key Responsibilities

  • Greet customers professionally and identify their equipment service needs.
  • Open, maintain, and close repair orders accurately in the dealership management system.
  • Schedule service appointments and coordinate work with technicians and parts personnel.
  • Communicate repair findings, estimates, approvals, delays, and completion updates to customers.
  • Follow up on open repair orders and ensure customers receive timely updates.
  • Help identify additional maintenance, repair, and service opportunities through customer conversations and equipment inspections.
  • Coordinate warranty documentation and submit accurate warranty claims within required timelines.
  • Ensure repair orders, customer approvals, technician notes, and billing information are complete and accurate.
  • Assist with customer check-in, equipment pickup, invoicing, and payment processing.
  • Work with the service team to improve workflow, turnaround time, productivity, and customer satisfaction.
  • Support service department goals for labor sales, billed work, customer retention, and overall growth.
  • Maintain professional customer relationships and represent Greene County Kubota with honesty and integrity.
  • Assist with other daily service department responsibilities as needed.

What We're Looking For

  • Strong communication and customer service skills.
  • Excellent organization, attention to detail, and follow-through.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Dependable attendance, a positive attitude, and professional behavior.
  • Basic computer skills and the ability to learn dealership software.
  • Willingness to learn equipment, maintenance requirements, and service procedures.
  • Ability to work effectively with customers, technicians, parts personnel, and management.
  • A team-oriented mindset with a commitment to accountability and continuous improvement.

Preferred Qualifications:

  • One year of customer service experience preferred.
  • One year of service, automotive, agricultural, or dealership experience preferred.
  • Experience with repair orders, scheduling, estimates, invoicing, or warranty claims.
  • Familiarity with tractors, mowers, utility vehicles, and other equipment.

Previous Kubota experience is a plus, but it is not required.

How You'll Succeed

Success in this position means more than opening repair orders. The Service Writer helps keep customers informed, technicians productive, and service work moving through the shop.

We expect this position to focus on:

  • Customer Communication: Keep customers informed, obtain authorization before proceeding with additional work, and follow through on commitments.
  • Organization and Accountability: Maintain accurate repair orders and actively follow up on work that needs attention.
  • Service Growth: Identify legitimate maintenance and repair opportunities that benefit the customer and grow the department.
  • Teamwork: Work closely with technicians, Parts, Sales, and management to resolve problems and improve efficiency.
  • Customer Retention: Build trust that encourages customers to return to Greene County Kubota for future service needs.
  • Continuous Improvement: Learn our products, systems, and processes while looking for ways to improve the customer experience.

Training and Career Development

We invest in employees who demonstrate initiative, accountability, and a desire to grow.

  • On-the-job training with experienced dealership personnel.
  • Product knowledge and service process training.
  • Opportunities for manufacturer training and continuing education.
  • Performance-based compensation and opportunities to increase earnings.
  • Potential advancement into Senior Service Writer, Assistant Service Manager, Service Management, Parts, or other dealership leadership roles as opportunities become available.

Compensation and Benefits

  • Annual compensation range of $45,000–$60,000.
  • Salary plus commission, based on the established compensation plan.
  • Health, dental, vision, and life insurance.
  • 401(k) retirement plan with company matching.
  • Paid time off.
  • Weekly payroll through direct deposit.
  • Employee discounts.
  • Paid training and professional development opportunities.
