Job Type: Full-time, Hourly

Pay: $22.00 – $28.00 per hour (based on experience), plus monthly performance bonuses and overtime opportunities

Schedule: Monday – Friday, 7:00 AM – 5:00 PM; Saturday rotation, 8:00 AM – 12:00 PM (approximately 1 per month)

Started in 2015 out of a modest 30x50 garage, Skidloaders Plus has rapidly grown into a premier, full-line Wisconsin equipment dealer. Today, we operate a 13-acre home base in Fond du Lac and a newly opened 5-acre location in DeForest/Madison. We are an authorized dealer for leading brands like SANY, Gehl, Manitou, Niftylift, and Generac, alongside premium attachment lines like FAE and Fecon. In addition to selling and servicing used equipment of all brands under a rigorous 160-point inspection, we manage a rapidly expanding rental fleet worth over $8 million. Our service department prides itself on a 24-hour response standard, offering robust shop, mobile hose, and on-site field services.

The Job

The Service Writer runs the front desk of our busy service department, serving as the critical link between our customers and our technicians. If you understand heavy equipment, thrive in a fast-paced environment, and love solving problems for people, this role is for you. You will write up work orders, build estimates, keep the shop schedule full, submit warranty claims, and ensure every job is accurately closed and billed.

What You'll Do

Customer Care & Communication

• Greet customers, answer phones and emails, and determine exactly what is wrong with their machines.
• Build accurate repair estimates (parts, labor, travel/mileage) and secure customer approval before work begins.
• Keep customers proactively updated on job status, unexpected delays, or additional required repairs caught by the techs.
• Follow up with customers after repairs are completed to ensure complete satisfaction.

Shop Coordination & Billing

• Open and manage accurate repair orders in our dealer management system (Flyntlok) for customer-pay, internal, and warranty jobs.
• Schedule and assign jobs to shop and field technicians, keeping the work order board current.
• Coordinate with the Parts department to ensure required components are ordered and on-hand before a job is scheduled.
• Review technician time entries against jobs to ensure strict billing accuracy.
• Enforce quality control by ensuring technicians document every job using the "3 Cs" (Complaint, Cause, Correction) and clear photos.
• Close out and invoice completed work orders, accurately capturing all parts, labor, and additional billables (damage, overages, fuel).

Warranty Administration & Rental Fleet Support

• Prepare and submit detailed manufacturer warranty claims through OEM portals (SANY SCS portal, Gehl/Manitou Dealer Portal, Niftylift, FAE, and Fecon).
• Track warranty approvals and diligently follow up on rejected or open claims.
• Write and manage repair orders for our $8M+ rental fleet, including routine safety inspections, make-ready work, and customer damage billing.
• Coordinate machine pickup and delivery logistics with our team of company drivers.

What You Need

• Experience: 2+ years of experience as a service writer, service advisor, or service coordinator at an equipment, agricultural, truck, powersports, or automotive dealership. Hands-on mechanics/technicians looking to transition into an office role are highly encouraged to apply!
• Mechanical Knowledge: A strong foundational understanding of diesel engines, hydraulics, and electrical systems sufficient to explain repairs easily to a customer.
• Skills: Exceptional communication and customer service abilities over the phone and in person; stellar organizational skills to multi-task in a bustling shop environment.
• Tech-Savvy: High comfort level with computers, including dealer management/shop software, email, and Microsoft Office or Google Workspace.
• Screening & Legals: High school diploma or GED; a valid driver's license; ability to pass a background check and drug screen.

Nice to Have

• Experience with Flyntlok, Point of Rental, or comparable dealer management systems.
• Past experience filing OEM warranty claims (SANY, Gehl, Manitou, Bobcat, CAT, John Deere, Kubota, Case, etc.).
• Familiarity with skid steers, compact track loaders, excavators, telehandlers, or aerial lifts.
• Prior experience writing repair estimates or processing rental damage claims.
• Forklift operation experience.
