  Job Purpose  To oversee and coordinate the efficient, accurate, and timely shipment of goods, ensuring compliance with regulations and requirements.

 What we expect from you                     

1. Shipping & Logistics Operations 
   ·Manage the end-to-end shipping process for both import and export shipments, from planning and booking to final delivery 
   ·Coordinate freight movement to ensure efficiency, cost-effectiveness, and adherence to timelines 
   ·Oversee the shipment of sample products from various factories (e.g., EU, CN, VN), ensuring proper handling and documentation 
   ·Liaise and coordinate with freight forwarders, vendors, customers, internal teams/departments to ensure seamless operations 
   ·Monitor shipment status, proactively address delays or issues, and provide timely updates to stakeholders 
   ·Ensure all shipments are executed in accordance with company/client standards and operational requirements 
2. Compliance & Documentation 
   ·Ensure full compliance with local and international shipping regulations, customs requirements, and company policies 
   ·Accurately compute duties, taxes, and insurance costs for all shipments 
   ·Prepare, review, and process shipping documents and invoices in a timely manner

 
 
·Verify and validate HS codes to ensure proper classification and compliance 
·Process and secure necessary permits (e.g., FDA, DTI, BIR) for regulated goods 
·Maintain organized and audit-ready documentation for all shipments 
 
3. Cross-Functional Collaboration 
·Work closely with Sales, QA/QC teams, and other internal departments to ensure product readiness, inspection completion, and shipment alignment 
·Support coordination of product inspections and ensure all requirements are met prior to dispatch 
·Provide logistics-related inputs, cost estimates, and sales quotations to the Sales team when required 
·Act as a key point of contact for logistics concerns, ensuring clear and timely communication across departments 
4. Systems & Reporting 
·Accurately encode, update, and maintain logistics data in D365, Flow (in-house system), and Excel 
·Ensure real-time or timely updates of shipment status, documentation, and cost details in all systems and via email 
·Ensure consistency and alignment between system records and actual shipment activities 

·Demonstrates strong ownership and accountability for the entire shipping lifecycle 
·Proactively identifies risks and resolves logistics issues before escalation 
·Maintains a high level of accuracy and attention to detail in all documentation and system entries 
·Ensures strict adherence to regulatory, compliance, and company standards 
·Builds and sustains effective working relationships with external partners, internal teams, and other internal departments 
·Continuously seeks opportunities to improve processes, reduce costs, and enhance operational efficiency 
·Remains adaptable and responsive in a fast-paced environment with changing business needs
