EAGLE LIGHTING
Showroom Coordinator
Position Type: Hourly, Part-Time
Schedule: Approximately 20–25 hours per week (2-3 days a week)
Work Location: In-person / Showroom
Reports To: Ownership/Management
POSITION SUMMARY
Eagle Lighting is looking for a dependable, organized, and customer-focused Showroom Coordinator to help manage the day-to-day operations of our lighting showroom 2-3 days a week.
This position will be very hands-on and will play an important role in both the customer experience and the behind-the-scenes organization of the business. The ideal person will be comfortable working directly with customers, selling and ordering lighting fixtures, keeping records organized, tracking inventory and invoices, and helping ensure the showroom stays current and up to date.
Because Eagle Lighting is continuing to grow, this position requires someone who is willing to take ownership of their responsibilities, stay organized, identify things that need attention, and help develop better processes as the business grows.
CUSTOMER SERVICE & SALES
- Greet and assist customers visiting the Eagle Lighting showroom.
- Help customers select lighting fixtures based on their needs, style, budget, and project.
- Answer questions regarding available fixtures, manufacturers, pricing, lead times, and ordering.
- Prepare quotes and pricing for customers when needed.
- Follow up with customers regarding selections, orders, availability, and incoming fixtures.
- Process customer orders and help maintain accurate records of purchases.
- Build relationships with homeowners, contractors, builders, electricians, designers, and other customers.
- Maintain a professional, helpful, and welcoming showroom environment.
FIXTURE ORDERING & VENDOR COORDINATION
- Order lighting fixtures and related products from manufacturers and vendors.
- Confirm pricing, availability, lead times, and order details before placing orders.
- Track open purchase orders and incoming fixture orders.
- Follow up with vendors regarding delayed, backordered, discontinued, damaged, or incorrect products.
- Verify received products against purchase orders and invoices.
- Communicate order updates with customers and management.
MAINTAINING SHOWROOM
- Regularly review all fixtures currently displayed throughout the showroom.
- Identify fixtures that are:
- Outdated or no longer consistent with current styles.
- Discontinued by the manufacturer.
- No longer available to order.
- Poor sellers or no longer appropriate for showroom display.
- Maintain a list of fixtures that need to be removed or replaced.
- Research and recommend new fixtures to replace outdated showroom displays.
- Coordinate the removal and replacement of showroom fixtures.
- Keep showroom displays organized, clean, properly labeled, and current.
- Help determine which styles, manufacturers, and products should be represented on the showroom floor.
- Assist with seasonal or style updates to showroom displays.
INVENTORY TRACKING
- Assist with maintaining accurate inventory records.
- Track fixtures and products coming into and leaving the showroom.
- Help identify low-stock, overstocked, discontinued, or slow-moving products.
- Maintain records of showroom fixtures versus sellable inventory.
- Assist with periodic physical inventory counts.
- Research discrepancies between physical inventory and inventory records.
- Help develop and maintain an organized inventory tracking process.
BOOKKEEPING & INVOICE TRACKING
- Assist with keeping the company's books and financial records organized.
- Track incoming vendor invoices.
- Match invoices with purchase orders and received products.
- Verify invoice amounts, pricing, quantities, and order information.
- Maintain organized records of invoices and purchases.
- Track outstanding or missing invoices and follow up when necessary.
- Assist management with basic bookkeeping and recordkeeping as needed.
- Maintain organized documentation for customer sales, vendor purchases, and showroom expenses.
GENERAL OPERATIONS
- Maintain organized customer, vendor, purchasing, and showroom records.
- Communicate with management regarding outstanding orders, inventory issues, customer concerns, and vendor issues.
- Help establish and improve procedures for ordering, inventory, showroom management, and recordkeeping.
- Identify problems or inefficiencies and bring solutions or recommendations to management.
- Assist with other showroom and business-related responsibilities as Eagle Lighting continues to grow.
QUALIFICATIONS
The ideal candidate will have:
- Strong customer service and communication skills.
- Sales experience or the ability to comfortably work with customers and recommend products.
- Strong organizational and follow-up skills.
- Basic bookkeeping or accounting knowledge.
- Experience tracking invoices, purchase orders, or inventory preferred.
- Comfortable working with computers, spreadsheets, email, and business software.
- Ability to communicate professionally with customers, vendors, contractors, and management.
- Strong attention to detail.
- Ability to manage multiple orders and responsibilities at the same time.
- Ability to work independently and recognize what needs to be completed without constant direction.
- Lighting, electrical, construction, interior design, retail showroom, or building-material experience is a plus but not required.
WHAT WE ARE LOOKING FOR
We are looking for someone who can become a reliable part of Eagle Lighting's daily operations — someone who can work with a customer on selecting a fixture, place and track the order, make sure the invoice is correct, help keep inventory organized, and notice when something on the showroom floor needs to be updated without waiting to be told.
This position is ideal for someone who enjoys a combination of customer interaction, sales, organization, purchasing, and business operations rather than performing the same task every day.
POSITION DETAILS
- Hourly position
- Approximately 20–25 hours per week
- In-person position
- Work performed primarily from the Eagle Lighting showroom
- 2- 3 days a week
Pay: $20.00 - $25.00 per hour
Work Location: In person
