Soft Services Supervisor

We are looking for a Soft Services Supervisor to join our team in a pharma site in Dublin 15

Shift Pattern Monday to Friday 08:30 - 17:30

Duties & Responsibilities:

• Directly supervise and manage the NGMP Cleaning Team and General Operatives on a daily basis
• Allocate tasks, manage rotas, and ensure adequate staffing levels across all shifts
• Monitor staff performance and address issues in a timely and professional manner
• Support onboarding and training of new team members
• Open, manage, and close Work Orders (WOs) accurately and in a timely manner using the CMMS/FM system
• Ensure all completed tasks are properly documented and signed off
• Conduct regular quality inspections and audits of cleaned areas
• Ensure cleaning schedules are adhered to and any deviations are corrected promptly
• Manage and monitor cleaning materials, equipment, and consumable stock levels
• Supervise General Operatives in carrying out tasks such as waste management, porterage, set-up/breakdown of spaces, and general site support
• Ensure all team members comply with site health & safety policies and procedures
• Carry out risk assessments and method statement reviews as required
• Report accidents, near misses, and hazards promptly
• Ensure COSHH compliance and safe use/storage of cleaning chemicals
• Maintain up-to-date records of training, compliance, and certifications
• Act as the key point of contact between the soft services team and the Facilities Manager
• Provide daily/weekly operational reports and highlight any issues or risks
• Liaise with client representatives and other departments in a professional and courteous manner

Qualifications and experience

• Previous supervisory experience in a Facilities Management or Soft Services environment
• Hands-on experience in cleaning operations and general site services
• Proficient in closing and managing Work Orders using FM/CMMS platforms
• Strong leadership and team management skills
• Excellent communication and organisational abilities
• Knowledge of Health & Safety legislation and COSHH regulations
• Ability to work effectively in a fast-paced, client-facing environment
