SPARE PARTS CONTROLLER

About the role

The Spare Parts Controller is responsible for monitoring, controlling, and maintaining accurate spare parts inventory records. The role ensures proper documentation of spare parts transactions, accurate inventory reconciliation, and timely reporting of stock movements to support efficient warehouse and aftersales operations.

Key responsibilities

• Monitor and maintain accurate inventory records of spare parts, including stock receipts, issuances, transfers, and adjustments.
• Record and verify spare parts transactions in the inventory management system.
• Prepare and process journal entries related to spare parts inventory transactions, when applicable.
• Reconcile physical inventory against system records and investigate discrepancies.
• Monitor stock levels and coordinate with the warehouse and purchasing teams regarding shortages, excess stocks, and inventory concerns.
• Ensure that all spare parts transactions are supported by complete and accurate documents.
• Prepare inventory reports, stock movement summaries, and other required documentation.
• Conduct regular inventory monitoring and assist in cycle counts and physical inventory activities.
• Investigate inventory variances and recommend corrective actions to prevent recurring discrepancies.
• Coordinate with the Accounting, Warehouse, Purchasing, and Aftersales teams to ensure accurate and timely inventory reporting.

About you

• Graduate of a Bachelor's degree in Accountancy, Accounting Technology, Business Administration, or a related field.
• Experience in inventory control, spare parts management, warehouse operations, or accounting is an advantage.
• Knowledgeable in basic accounting principles and journal entries, particularly those related to inventory transactions.
• Familiar with inventory monitoring, stock reconciliation, and inventory documentation.
• Proficient in Microsoft Excel and other MS Office applications.
• Experience using an inventory management system or ERP software is an advantage.
• Detail-oriented, analytical, organized, and capable of identifying inventory discrepancies.
• Good communication skills and ability to coordinate effectively with different departments.
• Willing to perform physical inventory counts and other inventory-related activities.
